Processing Times
Processing times shown are estimates and begin when the completed document arrives at the office {either in physical format via mail or delivery to Enrollment Management Central - or via email delivery}.
Typical processing time for services/forms
If you are traveling overseas or sending documents for use in a foreign country, you may be required to have the documents certified by the Kansas Secretary of State.
Depending on the country requesting the certificate, that certification may be called an Apostille (pronounced "uh-pos-till").
An Apostille is an additional form of authentication given to a notarized document to certify that the document is a true, i.e., exact, copy of the original. Apostilles can take approximately 2-4 weeks (excluding weekends and holidays) to work through which does not include any time or processes you will experience when taking your documents to the Kansas Department of State.
- Assignments to a committee review meeting occur typically within 15 business days (excluding weekends, holidays, and university closures) from receipt of a fully completed {ALL required signatures} form to the Office of the Registrar email.
- Notification of receipt of the form and committee meeting assignments occur typically within 15 business days (excluding weekends, holidays, and university closures) from receipt of a fully completed {ALL required signatures} form to the Office of the Registrar email.
- Committee decisions occur typically within 3-5 business days (excluding weekends, holidays, and university closures) after the assigned meeting day/time.
- Depending on the time of the year it can take a full 45 business days (excluding weekends, holidays, and university closures) for Committee assignment, review and decision.
Awarding of degrees should be completed approximately 4-6 weeks (excluding weekends and holidays) following the review. Once your degree has been posted (conferred), your unoffical and official transcript will reflect this information. A verification of degree includes degree(s) awarded, major(s), and date conferred. It does not include courses taken or grades attained while a student at K-State as that information is only obtained through an official transcript order. Processing times will vary based on the verification requested.
- Official Transcript: If done via the eTranscript option, will release from our Parchment vendor system within the hour of the order. If ordered as a paper or mail version, typically releases within the next available business day, but can experience an increase in turnaround time for students who attended K-State prior to 2008.
- National Student Clearinghouse: You can access degree verifications through the National Student Clearinghouse; click on the "Verify a Degree, Past Attendance or Certifiation" link. If you cannot access this site, please contact our office at ksugradaution@k-state.edu
- Formal Letter of Completion or Early Certification Letter:
- Requests for letters are NOT available for same-day pick-up
- Can take a minimum of five (5) to seven (7) business days (excluding weekends and holidays) to generate during normal working times.
- During Peak Times, i.e. beginning of a semester or end of a semester, it can take seven (7) to fourteen (14) business days or more to generate.
For current conferral/posting term: Diplomas will be mailed to the Diploma Mailing Address indicated on your graduation application. Conferral begins the Friday after Grade Day and can take approximately four (4) to six (6) weeks in total to finalize. K-State has teamed up with Parchment who is handling both the printing and mailing of the physical diploma as well as the new digital diploma.
- Confirm your degree has posted by checking your Unofficial Transcript
- Ensure you have no Diploma or Transcript Holds
- Check your K-State Email for an Email from Parchment - follow the steps to verify your mailing address and claim your eDiploma
Once your eDiploma has been claimed and your mailing address has been verified your diploma will:
- release to be printed within fifteen (15) business days
- if mailing domestically can take 7-10 business days (excluding weekends and holidays)
- if mailing internationally can take 14-21 business days (excluding weekends and holidays)
Replacement/duplicate diplomas can take approximately four (4) weeks (exluding weekends and holidays) for processing.

For any PPS change that comes to the Office of the Registrar as the main office to process, it is important to remember that we are dealing with various other processes at the same time. We work to ensure that we are in alignment with the deadline for ALL major change types which is the 20th day for the Fall/Spring/Summer terms. Outside of the 20th day deadline, the following processing times apply.

- During Peak Times, i.e. beginning of a semeser or end of a semester, it can take five (5) to seven (7) business days or more to generate.
Residency applications for tuition and fee purposes are processed in the order received once all required documents have been submitted and the application is considered complete. Applications are accepted beginning 45 calendar days before the first day of the term and up to 30 days after the term begins.
All forms/packets must be complete and all documentation submitted for a full and complete review to take place. Once submitted to the Office of the Registrar, the documentation is placed in the queue and will take a minimum of ten (10) to fourteen (14) business days {excluding ALL holidays or weekdays} or more for consideration.
NOTE: Please be aware that submission at semester start or before billing due dates does not speed up or fast track reviews.

Enrollment verifications are available immediately through the National Student Clearinghouse's MyHub once K-State has reported enrollment data. Processing times vary by the type of certificate selected and when enrollment is reported, with updates typically occurring weekly during active registration periods.
All third-party requests for degree or enrollment verification are processed by the National Student Clearinghouse. Processing times may vary, but most verifications are completed promptly through their online system. To submit a request, visit www.degreeverify.org.
Approved third-party requestors—such as special agents representing the NSA, FBI, scholarship verifications, military commissioning or enlistment, and similar—are not available for same-day processing and may take 3 to 5 business days (excluding weekends and holidays) during normal periods.
During peak times, such as the beginning or end of a semester, processing can take 5 to 7 business days or longer.
Current Students: Immediate processing via your KSIS student portal if all information matches, however it may take up to 48 hours
- If you attended 1985/1990-2008 your academic record is most likely in an electronic format and MUST be converted to KSIS from the 'old' transcript repository.
- This process can take approximately 10-15 business days {excluding weekends} and holidays
- If you attended prior to 1990/1985 your academic record is most likely in a hard copy format and MUST be pulled from our hard copy storage and then worked for conversion into KSIS/the transcript ordering system.
- This process can take approximately 14-21 business days {excluding weekends} and holidays
