Apostille Ordering
An Apostille (pronounced uh-pos-TEEL) is an internationally recognized form of authentication that verifies a notarized document as a true and accurate copy of the original. Apostilles are often required when submitting documents for use in foreign countries.
If you're traveling internationally or need to submit Kansas State University documents abroad, you may be required to have them authenticated or certified through the Kansas Secretary of State. The term “Apostille” refers specifically to this type of certification under the Hague Convention.
The K-State Office of the Registrar can assist with notarizing official university-issued documents, including:

⚠️ Important: Only new, official documents can be notarized. We cannot notarize unofficial copies, older diplomas, or previously issued transcripts. Before submitting your request, confirm with the receiving agency exactly what type of authentication is required.
The Office of the Registrar will notarize original, university-issued documents for submission to the Kansas Secretary of State. It is your responsibility to confirm that the documents meet the specific requirements of the destination country.
We are not responsible for delays, rejections, or processing issues caused by incomplete or non-compliant requests.
We strongly recommend that you order a Duplicate Diploma for Apostille processing.
Documents submitted for Apostille or international certification are not returned, so submitting your only original diploma will mean you no longer have a personal copy for future use.
Please allow 4–6 weeks for processing (excluding weekends and holidays), depending on the nature of your request and document volume.
1. Review Requirements
Verify the authentication or Apostille requirements of the receiving country or agency.
2. Order Your Documents
Order an Official Transcript and/or Duplicate Diploma through university channels.
When placing your order:

Clearly indicate "For Apostille Processing" in the order notes or special instructions section.

This note is especially important for transcripts, as processing is automated and your request may be missed without it.
3. Pay Certification Fee
Submit payment for the notarization/certification fee through the official portal:

4. Submit Your Request
Submit your request by completing the Apostille Request Form.
The Office of the Registrar will review and notarize your documents accordingly and mail them to the mailing address provided on your request form.
After receiving your certified/notarized documents back from the Office of the Registrar, you are responsible for submitting them to the Kansas Secretary of State for final Apostille authentication.
