Apostille Ordering
Apostille, Certification, or Authentication of University Documents
If you are traveling internationally or submitting documents for use in a foreign country, you may need to have your document authenticated or certified by the Kansas Secretary of State. Depending on the country's requirements, this certification may be referred to as an "Apostille". An Apostille is an internationally recognized form of authentication confirming that a notarized document is a true and accurate copy of the original.
The K-State Office of the Registrar provides notarization services for K-State issued documents such as official transcripts, diplomas, course descritiptions, and syllabi. Before requesting notarization, it is important to confirm with the receiving agency what level of verification is required. Please note: The Office of the Registrar cannot notarize photocopies or previously issued transcript or diplomas.
Document Certification Overview:
The Office of the Registrar can notarize original documents intended for submission to the Kansas Secretary of State. Before submitting your request, please verify that your documents meet the specific international requirements. The Office of the Registrar is NOT RESPONSIBLE for delays or issues caused by incomplete or non-compliant submissions.
If an original diploma or transcript is required, you may order a Duplicate Diploma or Official Transcript.
Important Recommendation: We highly recommend ordering a Duplicate Diploma for this process. Documents submitted for Apostille or authentication are not returned. Using your original diploma means you will no longer have a personal copy for future use.
Processing Timeline:
Please allow a minimum of 4-6 weeks (excluding weekends and holidays) for processing, depending on the complexity of your request.
Steps for Processing:
- ReviewRequirements: Confirm the receiving country's authentication or Apostille requirments.
- Order Document(s):
- Place and order for your Official Transcript or Duplicate Diploma through the appropriate university channels.
- When ordering, be sure to clearly indicate that your request is for Apostille Processing - either in the order notes or special instructions section.
- This step is especially critical for transcripts due to the automated nature of the transcript processing. Without that note, we may not recognize the Apostille Certification is required.
- Pay Certification Fee:
- Apostille processing fees (see below) should be submitted through the dedicated payment portal: https://commerce.cashnet.com/KSTATEREG
- Submit Your Request:
- Once you have ordered your document(s) and paid the certification fee, email all necessary details and copies of your order confirmation (including transaction/document ID's from parchment) to registrar@ksu.edu
- The Office of the Registrar will then notarize and certify the documents on behalf of Kansas State University.
Final Submission Requirement:
After receiving your certified/notarized documents back from the Office of the Registrar, you are responsible for submitting them to the Kansas Secretary of State for final Apostille authentication.
