General Information

What options are available when ordering a transcript?

Transcripts are available in electronic and paper versions.  Paper transcripts have additional shipping options available for a fee.

How much does it cost to order a transcript and send it?

Former students are be charged $15.00 per transcript.  The fee is the same for an electronic copy or for a paper copy.  Current students may submit transcript orders at no charge due to payment of the student privilege fees.

Transcripts that are mailed may select an alternative shipping methods.   The fees include:

   $8.00 for domestic priority

   $25.00 for domestic FedEx shipment

   $40.00 for international FedEx shipment

What are the available payment options?

Parchment accepts Visa, Mastercard and Discover for payment.  If you do not have a credit card, please contact our transcript support team at ksutranscript@ksu.edu.

What is the processing time?  Can my order be rushed?

When ordering a transcript, the standard processing time for orders is 3-5 business days.  Processing time includes the Office of the Registrar processing and transcript order and preparing for mailing, it does not include delivery time.

If your transcript order is time sensitive, it is recommended to order an electronic version.  While not guaranteed, many electronic transcript orders are processed automatically and may be received same day.

Transcript orders are not processed when the Office of the Registrar or University are closed.

Can I order my transcript for Hold for Grade or Hold for Degree?

Transcript orders are processed at the time they are received.   A current student ordering a transcript at the end of semester and would like grades included, should submit a transcript order after confirming their grades are what they expected.  If ordering at the end of semester when graduating, the order should be submitted after the student confirms their degree has been posted to their academic record.  The posting of degrees occurs every Friday for approximately 4-6 weeks after the end of a semester.

A student may confirm grades or their degree has posted to their academic record by visiting KSIS, selecting the Other Academic tile, and viewing their unofficial transcript.

Enrolled students will may order transcripts at no charge until the following dates:

   Spring: Last Friday of June

   Summer: Last Friday of September

   Fall: Last Friday of January

Can I order a transcript if I have a Hold on my account?

Depending on the hold, there may be impacts to transcript ordering.   Only holds for indebtedness (financial obligations) to the University prevent transcripts from being released.  If there is a hold that prevents a transcript from being ordered, that hold will need to be resolved prior to ordering.  Questions about a specific hold should be directed to the office that placed the hold on your record.

To check to see if you have a hold, visit KSIS and select Student Center.  Holds will be displayed on the right hand side along with contact information from the department.  Impacts of the hold can be viewed by selecting the “do not” sign in the upper right hand corner 

Can I change an order once it is submitted?

It is important to confirm information prior to submitted an order.  Once an order is processed, it may not be possible to update the information.  Please contact the transcript support team at ksutranscript@ksu.edu.  If you ordered an electronic transcript to be sent to yourself in error, do not open the transcript prior to contacting the support team.  

Transcripts returned to the Office of the Registrar for an undeliverable address, will be shred and an email sent to the student to reorder online with a better address; applicable fees will apply.

What type of transcript is accepted by my recipient?

Each organization will have their own requirements so it is important to check with the recipient of the transcript directly.  Transcript ordered in error will be cancelled or refunded and a new order will need to be submitted.

How long is an electronic transcript available?

Electronic transcripts received by a recipient are valid for 30 days before the security certificate expires.  During that time, a recipient may save the electronic PDF file to their local computer for future access.  After an electronic transcript link expires, if the recipient did not save a copy, it will be necessary for the student to order another copy.   Applicable fees will apply.

Can I send a transcript to a P.O. Box?

It is possible to mail a paper transcript by using standard USPS mailing to a P.O. Box.  FedEx (Domestic and International) delivery requires a physical address and phone number of the recipient when placing the order.

How can I check the status of my transcript order?

Transcript order status can be confirmed in Parchment by tracking your order.  Additionally, an email will be sent when your transcript has been emailed or printed for mailing. 

How are electronic transcripts received?

Delivery emails will come from parchment.com. For emails that do not show up in your inbox, check your junk, clutter, or spam folders for the delivery email. For electronic transcript delivery to a third party, please follow up with them regarding the same procedure.

What should I do if the recipient did not receive the transcript?

If an electronic transcript was sent but was not received, please forward them your confirmation email so they can attempt to locate your transcript. 

If a paper transcript was not received in the mail, The Office of the Registrar will replace the mailed transcripts one time to the same address, up to two months after the original date of the order. Transcripts returned to the Office of the Registrar for an undeliverable address, will be shredded and an email will be sent to the student to reorder online with a better address; applicable fees will apply. It is the student’s responsibility to provide an accurate mailing address.

Who is considered a current student?

A student is considered a current student from their first day of class until they no longer pre-enroll for courses.  This could be because they are graduating or simply are not taking courses the upcoming Fall or Spring semester.   Enrolled students may order a transcript any time in a semester they are enrolled through:

Spring: June 30th

Summer: September 30th  

Fall: January 31st

If a student is graduating or is not pre-enrolled, they will be considered a former student after these dates and applicable fees will apply.

How do I send my transcript to a professional schools and organizations?

Kansas State University is an approved electronic transcript sender for the following professional schools being sent to Watertown, Massachusetts.  When ordering, use the search to find the school/organization name, then click select; the appropriate email is already confirmed for your convenience. Next to the professional schools below is the required ordering element to complete your transcript order online. For these orders, a paper form DOES NOT need to be attached and sent with the order. Use the chart below to see if the professional organization you are sending to is listed and not the required data elements to add on the order.

Transcript Ordering

Transcripts are ordered through Parchment.  Parchment offer articles and videos to help answer common questions and offer solutions for your ordering needs.  By visiting the Parchment website, information is available regarding:

I’m trying to order in KSIS, but nothing happens when I click to order my documents. 

To function properly, KSIS requires your web browser be configured to allow pop-ups.  If you do not know how to allow another window to display on your internet browser, you will need to look up how to enable pop-ups for the specific internet browser being used.
