Concur Software Implementation Objectives

As we continue to work towards operational excellence, the university is partnering with Concur, a travel and expense management tool. Concur software simplifies the reimbursement request process and offers a convenient mobile application. The university gains a digitized system for expense reporting and the ability to collect enhanced travel data, improving buying power with travel vendors. The implementation of Concur occurs in tandem with two additional improvements to our travel and expense processes:

  • Anthony Travel - The university will partner with Anthony Travel to provide travel support for faculty and staff. Anthony Travel is the nation's largest provider of university travel management and will have an on-site agent available in March 2024 to provide lodging arrangements, transportation assistance and quick turnaround planning for campus business needs.
  • U.S. Bank - The university's procurement card partner will switch from UMB Bank to U.S. Bank. The switch to U.S. Bank will bring dedicated customer service representatives to the university, provide additional card options to meet the diverse needs of university travelers and better accommodate the automation of banking information. All employees currently issued university credit cards will receive new cards from U.S. Bank in March 2024. Cardholders should anticipate further instructions in the coming months, ensuring a smooth transition to their new procurement card

Concur Software Implementation Methodology

Campus users representing every college and university administrative unit have completed initial testing and feedback sessions on the core software configuration. The Concur Project Steering Committee will utilize the insight gained during testing to ensure a successful pilot launch in January. The implementation team will work with college and administrative business officers to identify departments that best meet the qualifications required to assist in further testing during the pilot phase.

 

Project Timeline

System Configuration and Testing

August 2023 - January 2024

KSU Concur implementation team is working with Concur representatives to develop the university's Concur site and update policies. Identified campus partners will provide feedback to prepare the site for the pilot phase.

Business Liaison Concur Preview Training

January - February 2024

KSU business liaisons are invited to participate in online mini-sessions to preview Concur functionality.

Universitywide Training and Rollout

Feb. 26, 2024

Concur goes live.

Ongoing Training and Optimization

March-June 2024

The KSU Concur management team will provide training resources and support for Concur users, and processes will be refined and adjusted.
