Microsoft Power BI and Power BI Pro Licenses

Microsoft Power BI is a suite of business analytics tools to analyze data and share insights using reports and dashboards. To access Microsoft Power BI, do the following.

  1. Sign in to K-State's webmail.
  2. Select the App Launcher in the upper-left corner.

Application Versions

For Faculty and Staff

  • Microsoft Power BI Pro licenses are free to faculty and eligible staff needing advanced capabilities of Power BI Pro. Access has been automatically assigned and can be found in your Office 365 apps. If you do not have Power BI Pro in your Office 365 apps, you will need to order using the Request a license form.

    University groups that have their own Microsoft agreement (Vet Med, Foundation, Athletics), but need to access the main campus report repository, are required to order a license through the IT Service Catalog using the Request a license link below.

For Students

  • Microsoft Power BI student licenses are free to students needing limited access to Power BI. Licenses must be requested by their department through TDX.
  • Microsoft Power BI Pro licenses are available to students needing advanced capabilities of Power BI Pro. Licenses must be requested by their department through TDX.

Licensing fees

The license year begins February 1 and runs through January 31. Costs for purchases made during the year are pro-rated through January 31.

Upon completion of the license request for Power BI Pro, an invoice will be sent to the requesting department. Prior to provisioning the license request, payment must be made to Division of Information Technology via interfund voucher (IFV) or KSU Foundation check for faculty, staff, and student licenses. Students may lease Power BI Pro with departmental approval and payment directly through their department business office. The Division of Information Technology is unable to accept personal payment for these licenses. Within seven days of receipt of payment, Power BI Pro will appear in your Office 365 apps.

Annual Renewal

In early January, the Division of Information Technology will send current student Power BI Pro licensees renewal instructions. License privileges are automatically revoked for non-renewed licenses.

Reassigning Named Licenses

Using the Request a license form, paid Power BI Pro named licenses can be reassigned to a different named user through the remainder of the contract year. Select the appropriate Change Named User option in the License Type menu. The classification (student or faculty/staff) of both users must match.

Removing Power BI users

Using the Request a license form, complete the Power BI License Request form by selecting the Remove Named User option in the License Type menu. No refunds are granted for the remainder of the contract year.
