Transcript Notice:

The transcript form has been updated. Located in the delivery options section under “Ordering a Transcript,” the form is now available in different formats which coincide with the type of delivery service you select.

The transcript window is open 8:30 AM–4:30 PM, Monday–Friday and over the noon hour for transcript services. Transcript requests can be dropped off in the Registrar’s Office 8:00 AM–5:00 PM, Monday–Friday.

The standard processing time for transcripts is currently seven business days and up to fourteen business days depending on extenuating circumstances.


What is a Transcript?

A transcript is a certified, official copy of your permanent record. In accordance with the Public Information Act and Family Educational Rights and Privacy Act (FERPA) of 1974, as amended, student academic records are classified as confidential and may be released only with the student's written authorization and signature. NO ONE ELSE (including your spouse, parents, etc.) can request your transcript, as your written permission is required by law. Transcripts require a written request with a signature and can not be ordered via telephone.

Processing Time, Limits, and Holds

  • The standard processing time for transcripts is currently seven business days and up to fourteen business days depending on extenuating circumstances. No official transcript is issued to or for a student who is indebted to the university until such indebtedness has been paid in full. Holds that have not been removed from the system at the time of transcript processing will result in the request being sent back to the requestor indicating what office has placed the hold on the student’s record.   • Students requesting transcripts held for degrees can request up to ten (10) prior to the degrees posting. These requests are taken for Fall 2009 term between December 1, 2009 and January 15, 2010 and must be submitted prior to degrees posting on January 15, 2010. If additional copies are needed above the limits for hold for degrees, then these can be requested with payment.

Obtaining a Transcript in Person

  • Manhattan campus - Visit the Registrar’s Office, 118 Anderson Hall. The transcript window is open Monday through Friday, 8:30 AM–4:30 PM and over the noon hour. Transcript requests can be dropped off in the Registrar’s Office Monday–Friday 8:00 AM–5:00 PM. You must have a picture ID or a driver’s license for identification purposes.
  • Salina campus - Visit the Registrar’s Office, 2310 Centennial Road, Salina, KS, Monday–Friday, 8:00 AM–5:00 PM. You must have a picture ID or a driver’s license for identification purposes.

Ordering a Transcript

Any transcript request that is not filled out with complete information will be sent back to the requestor indicating the missing information.

Please note: The fees paid for additional services do not expedite the processing time of a transcript, only the delivery time after processing. Delivery fees do not include any applicable fees for transcripts.

If you do not use the transcript order form for your mail, Priority Mail, FedEx, or fax request, include the following in a letter:

  1. Your current name, plus any other name(s) you may have used when attending Kansas State University.
  2. Your social security or student ID number.
  3. Your date of birth.
  4. Your beginning and ending dates of enrollment at K-State.
  5. The number of transcripts you are requesting.
  6. Where each transcript requested is to be sent (please provide an accurate and complete address).
  7. $8.00 for EACH transcript requested if not currently enrolled (see Transcript Fee).
  8. No charge for EACH transcript requested if currently enrolled (see Transcript Fee).
  9. Your original signature.
  10. Your current home address and daytime telephone number.
  11. Indicate if you want your transcript held until current term grades are posted and/or until degree is posted. These requests are taken only one month prior to term end and before grades or degrees post.
  12. Fax requests to our office require a credit card number (American Express, Discover, MasterCard, or Visa), expiration date, and authorization code. Absence of expiration date and authorization code will result in a returned request form to the requestor.
  13. Be aware that faxed transcripts are usually not considered “Official Transcripts” by receiving Institutions. Be sure to check with the receiving party on their policy regarding transcripts.
  14. Priority Mail requests require a credit card number (American Express, Discover, MasterCard, or Visa), expiration date, and authorization code. Absence of expiration date and authorization code will result in a returned request form to the requestor.
  15. FedEx requests require a credit card number (American Express, Discover, MasterCard, or Visa), expiration date, and authorization code. Absence of expiration date and authorization code will result in a returned request form to the requestor.
