Review and Challenge of Student Educational Records
In accordance with the Family Educational Rights and Privacy Act (FERPA), Kansas State University provides students the right to inspect and review their educational records. Upon written request to the Office of the Registrar located on the Report a FERPA Concern website , the University will make the requested records available to the student within a reasonable timeframe, and no later than 45 calendar days from the date of the request.
Students may request copies of their records. Depending on the volume of records requested, a fee may be charged for their production. Students may also seek clarification or interpretation from the University official responsible for maintaining the record.
If a student believes that information contained in their educational record is inaccurate, misleading, or in violation of their privacy rights, they have the right to request that the record be amended. The University will respond to the request within a reasonable period of time. If the University declines to amend the record as requested, the student will be notified in writing and informed of the right to request a formal hearing.
Before a formal hearing is held, the responsible University official may attempt to resolve the matter informally through discussion with the student.
If the issue is not resolved informally, the student may request a hearing to challenge the content of the record. The hearing will be scheduled within two weeks and will be conducted by a hearing officer appointed by the President. The student will have the opportunity to present relevant evidence, and University officials may also provide supporting information. A decision will be issued in writing within two weeks of the hearing.

If the University determines that the information is inaccurate, misleading, or otherwise violates the student’s privacy rights, the record will be amended accordingly, and the student will be notified in writing.

If the University determines that the information is accurate and does not violate the student’s rights, the student will be informed of the decision and their right to include a written statement in the record. This statement may explain the student’s objection or provide additional context.
Any such student statement will be maintained as part of the record for as long as the contested information is retained and will be disclosed whenever the corresponding portion of the record is released.
