Jumpstart your spring cleaning with Shred Day

Ready to clear out years-old documents and flash drives from your cabinets? K-State Libraries is offering a simple, secure way to properly dispose of university records during Shred Day on Thursday, April 23, from 9 a.m. to noon.

Bring records to the northwest corner of Bosco Plaza, near Martin Luther King Jr. Dr., for disposal. Please review the university retention schedule and records retention policy destruction eligibility. To learn more about retention schedules, consider registering for a records management training session through HRIS self-service.

Drop-off guidance

Both paper and electronic records are accepted, provided they comply with applicable retention schedules. Before you arrive, please complete a digital Shred Day form for either paper or electronic records. The related university retention schedule Series ID must be entered to complete the form.

Paper documents may be left in ring binders, spiral-bound notebooks, file folders and hanging file folders — documents must be dry, and boxes should not exceed 25 pounds. Departments can place documents with personal identifying information in designated boxes at the Bosco Plaza drop-off site.

Examples of paper documents include:

  • Scantron forms
  • Rosters printed from K-State Online, KSIS and SIS
  • Papers with personal identity information
  • Data with credit card information
  • Personnel files

Due to limited space, electronic media, such as floppy disks, CDs, DVDs and flash drives, will be accepted on a first-come, first-served basis. Records management staff reserve the right to refuse unacceptable items for destruction or incomplete shred forms.

Disposal transparency

After the records leave campus, the paper is shredded, mixed, tumbled and compressed into bales before being transported to a paper mill for recycling. Electronic devices are securely wiped to make electronic data unrecoverable.

All records are disposed of in accordance with the Fair and Accurate Credit Transactions Act Disposal Rule and Payment Card Industry compliance guidelines.
