Undergraduate Admissions Office Updates (Blankley)

  1. Processing applications for terms Fall 2014 through Spring 2016. Manual for Fall 2014, custom auto QA process running for terms Spring 2015 through Fall 2015. S16 admissions start November 1st.
  2. Matriculations for admitted Spring 2015 applications will begin Sept 24.
  3. 20th day clean-up being performed for Fall 2014.
  4. Self-reporting option on application going well. Updating help tips and verbiage on application as issues are identified.
  5. Continue to receive phone calls from concerned parents and counselors about understanding the new 2015 standards and how it will affect their student.
  6. Staff Update – Michelle Elkins, Assistant Director – last day is Sept 12th. Search for replacement has begun.
  7. Current Projects
    • Unsubmitted applications to CRM for recruitment.
    • Auto QA for selective referrals and over 21 populations.
    • Pre-Law changes for newly matriculated changes.

    • SAT Test Profile changes – 15-16 cycle year, begins Oct 2015
    • ACT Test Profile changes – 15-16 cycle year, begins Sept 2015

Registrar’s Office Updates (Pfaff) – See Addendum A (.pdf) for detailed notes

  1. Bundle 34 - Preferred name will display in class rosters and grade rosters-Target date Oct 12th
  2. K-State 8 tags (for 1-2 hour classes), also includes alternate tags
  3. National Student Clearinghouse reporting changes. Dropped requirement to report FT/PT status by degree for each student.
  4. Midterms

  6. Fall 2014 - grades and holiday schedule
    Wilson with AG started discussion regarding very narrow time frame for colleges to complete graduation checks. With holiday schedule and how calendar fell, only 3 ½ days for processing after break. Several colleges very concerned they will have to deny graduation because this does not allow enough time for transfer transcripts to be received and processed. The registrar’s office has several commitments to the original early postdate and cannot change. Several options were discussed. Susan Cooper will be bringing together a smaller group to discuss what can be done in January to not have to deny graduations. This situation should be considered the next time the calendars are set for academic year to avoid its recurrence.
  7. Spring 2015 - preparing for enrollment
    Cunningham with BA asked if the advisor hold placement and the advising survey hold could be placed closer together. Are roughly 4 weeks apart. Causes confusion with students that they have another ‘advisor’ hold. L. Last with AR requested if their GRAD students could be included in the advisor survey process. Charlotte will check into both items.
  8. Fall/Summer 2015 - Begin class scheduling
  9. Office of the Registrar newsletter. Was in recent K-State Today. Planning to issue once per term. Several commented that they liked it and was very informative.

Projects Recently Completed (Blake)

  1. Bundle 33
  2. iSIS-JumpForward Integration (financial aid data), used by Athletics
  3. iSIS-MapWorks Integration, identifies at risk students

Current Projects

  1. KSU Advisor Center (Dandaneau, Blake, Letourneau) – 9/2 launch. Open forums going well, last one today. Fred Darkow is also doing training sessions this fall. Letourneau reported 250 have visited the new advising center, running reports and making filters. Blake hopes to have detailed advisee pages and advisor notes by this spring. Several key stakeholders were added as resources in Canvas to the online training available. This allows those users to add others to the course in Canvas and receive updates from Canvas. Fred Darkow can update your role to eliminate the updates.
  2. PT 8.53 upgrade will occur Sept 27th and 28th. The student system will be unavailable for approximately 24 to 36 hours during this time. This is a Sat/Sun.
  3. Bundl 34 – Oct 12th to production
  4. EAB Integration – 9/25 EAB will visit campus and meet with the identified value leaders on campus to share their analytics, indicators, etc. determined from KSU data.
  5. Sexual Assault Training/Bystander Intervention – student population only. ISO working on integrating Qualtrics with iSIS to reflect if a student has taken the training. Must complete or an enrollment hold will be placed mid Oct.
  6. iSIS-Canvas Integration – New function-will now produce an email to the submitter (instructor) that the grade post was or was not successful.
  7. CCAPIC (Course and Curriculum Approval Process Improvement Committee) – Pfaff reported that they are working on setting up 2 vendor demos. Curriculog and Courseleaf. L. Wilson mentioned Kuwali as a possibility.
  8. EIS to iSIS – Burkholder reported there will be a stakeholder meeting tomorrow, project is moving forward.
  9. iSIS Mobile – Determined we need to do an RFP. Trying to do sole source may not be successful, so going with the broader approach with an RFP.
  10. Converged Infrastructure (Wilson, Stafford) – Project is moving forward to move to new infrastructure. Disaster recovery plan entails a copy of data centers and servers be stored at KU facility. This is in addition to our own back-ups. KU will be doing the same and storing a copy of their data centers, etc. here at KSU.

Additional Topic

Has anyone received concerns about the name of our student system (iSIS) being very similar to the group, ISIS in the middle east. President Shultz asked Stafford about this issue. Many groups on campus have discussed the issue. It is unfortunate that the names are so similar. Several universities use this same letter abbreviation for their student systems. No indication that the name of our student system will be changed.
