Configuring Outlook 2003 for Windows

Configuring Microsoft Outlook 2003

  1. On the Tools menu, click E-mail Accounts.
  2. Under E-mail, click the Add a new e-mail account option and then click Next.
  3. Select either IMAP or POP3 as the server type and then click Next.

    Note: IMAP is the recommended incoming server type. See IMAP vs. POP.

  4. In the Your Name box, type your name.

    Note: This is an illustration of IMAP settings. POP settings will vary slightly.

  5. In the E-mail Address box, type your e-mail address.
  6. Follow the instructions below for the type of server you chose:
    • IMAP: In the Incoming mail server box, type imap.k-state.edu.
    • POP: In the Incoming mail server box, type pop.k-state.edu.
  7. In the Outgoing mail server box, type auth.smtp.k-state.edu.
  8. In the User Name box, type your eID.
  9. In the Password box, type your eID password.
  10. Click the More Settings button.
  11. Click the Outgoing Server tab.
  12. Click the My outgoing server (SMTP) requires authentication check box.
  13. Click the Use same settings as my incoming mail server option.
  14. Click the Advanced tab.
  15. Under Incoming server (IMAP), click the This server requires an encrypted connection (SSL) check box.

    Note: This is an illustration of IMAP settings. POP settings will display the POP server type and the POP port number which is 995.

  16. Under Outgoing server (SMTP), click the This server requires an encrypted connection (SSL) check box.
  17. In the Outgoing server (SMTP) box, type 465 and then click OK.
  18. Click Next and then click Finish.
Enabling SSL
  1. On the Tools menu, click E-mail accounts.
  2. Click View or change existing e-mail accounts and then click Next.
  3. Click the account you want to add SSL to.
  4. Click Change.
  5. Click the More Settings button.
  6. Click the Advanced tab.
  7. In the Incoming server (IMAP) box, click the This server requires a secure connection (SSL) check box and then click OK.

  8. Click Next and then click Finish.
Enabling Authenticated SMTP
  1. On the Tools menu, click Options.
  2. Click the Mail Setup tab and then click the E-mail Accounts button.
  3. Select View or change existing e-mail accounts.
  4. Select your K-State e-mail account and then click Change.
  5. In the Outgoing mail server box, type auth.smtp.ksu.edu.
  6. Click the Log on using Secure Password Authentication check box.
  7. Click the More Settings button.
  8. Click the Outgoing Server tab.
  9. Click the My outgoing server (SMTP) requires authentication check box.
  10. Click the Advanced tab.
  11. Click the This server requires an encrypted connection (SSL) check box.
  12. In the Outgoing server (SMTP) box, type 587.
  13. Click OK.
  14. Click Next.
  15. Click Finish and then click OK.

Address Book

Importing an Address Book
Importing from an E-mail Client
  1. On the File menu, click Import and Export.
  2. Click Import Internet Mail and Addresses and then click Next.
  3. Select the e-mail client you want to import from.
  4. Click the Import Address check box then click Next.
  5. Click Finish.
Importing from a Text File
  1. On the File menu, click Import and Export.
  2. Click Import from another program or file and then click Next.
  3. Click Comma Separated Values(Windows) and then click Next.

    Notes:

    • If you tab separated the addresses in the text file, click Tab Separated Values (Windows).
    • If you used Microsoft Excel to complete your address book, click Microsoft Excel.
  4. Click Browse.
  5. Browse to the file location , select the file and then click Next.
  6. Select how you want any duplicates to be handled and then click Next.
  7. Click Contacts and then click Next.

    Note: If needed, click Map Custom Fields to map fields to the imported address book.

  8. Click Finish.
Exporting an Address Book
  1. On the File menu, click Import and Export.
  2. Click Export to a file and then click Next.
  3. Click Comma Separated Values (Windows), then click Next.

  4. Click Contacts and then click Next.
  5. Browse to the saving location, enter a file name in the File name box and then click OK.

  6. Click Next and then click Finish.

Subscribing to Folders

If you have configured your e-mail client to use IMAP, folders are created and stored on the IMAP server. You can also create folders on your local machine if your client supports that feature. If you switch e-mail clients, your IMAP folders will still exist on the IMAP server, but you may not be able to view them. In order to access those folders in your new e-mail client, you must subscribe to those folder(s). To subscribe to your folders, do the following:

  1. In the imap.ksu.edu folder, click Inbox.
  2. On the Tools menu, click IMAP Folders .
  3. Click Query. A list of all of your imap folders will be displayed.

  4. Click the folder you want to subscribe to.
  5. Click Subscribe.
  6. Click OK.

Configuring Microsoft Outlook 2003's Spam Filter

The Spam filter in Outlook 2003 is already enabled at a low setting. You can change this setting by doing the following:

  1. On the Tools menu, click Options.
  2. Click the Preferences tab, click Junk E-mail.
  3. Click the level of protection you want and then click OK.
