Office of Academic Personnel Closed June 5

The Office of Academic Personnel closed on June 5, 2015. Services previously provided by the office are being integrated within Human Capital Services (HCS) or within the Office of the Provost.

  • HR-related functions/services that apply university wide have been reassigned to HCS. For more information, check out the HCS Web transition guide.
  • HR-related functions/services related to faculty only or to the academic organization reporting to the Provost, as well as other functions such as academic policies and university handbook maintenance, will remain within the Office of the Provost.

Where do you send personnel actions requiring Provost approval and check their status?

Please send requests for approval and processing of HR-related actions requiring the Provost's approval to provostpersonnel@k-state.edu or the Office of the Provost, 108 Anderson Hall, Manhattan, KS 66506. For additional information, contact Craig Bourne, executive assistant to the Provost, or call 532-6224. 

Will additional changes take place?

A number of services are still under discussion, including conflict of interest disclosures and reports, conflict management plans, and consulting requests. Work will continue on transitioning these services during the summer. In the meantime, the Office of the Provost will continue to provide these services.

Most of these changes will require some revision to existing workflow procedures. The Office of the Provost will be working with the academic units and HCS over the next year to identify and revise processes to delegate responsibility where appropriate and streamline where possible. We appreciate your patience as we work through the details of this transition.

Where do I find various forms that used to be on the Office of Academic Personnel website?

Links to all the forms as well as other information and documents previously found on the Academic Personnel website are still available through the Provost website. Links to the forms previously available on the Policies and Forms webpage have been incorporated into the Department/Unit Head Manual (For Faculty and Unclassified Professionals). Many of the links are to forms now available from Human Capital Services.

I am not a department or unit head. Where do I go to find the information I need that I used to get from Academic Personnel?

The department/unit head manual contains information relevant to both department and unit heads as well as faculty and staff. In addition, the former Office of Academic Personnel home page will remain live until November with relevant links. Much of the information is also available under Resources and Policies on the Provost website. During the coming months, we will continue to work on the Provost website to make it easier to find needed information and procedures and provide additional links to HCS and other relevant administrative information as it becomes available.

Annual contract renewals were previously sent to the Office of Academic Personnel. Where do we send them now?

Human Capital Services now maintains a record copy of renewed contracts in the central HCS personnel files. The President, Provost, and Deans Offices should send copies of contract renewals to Human Capital Services Resources Center. Please contact Alma Deutsch, Director of the HCS Resource Center and Operations, for additional details.

Where can I find the Department Head Directory previously on the Academic Personnel website?

The directory serves as a contact list for university department heads, administrators, and their assistants and is now available on the Provost website under Resources. In addition, the directory can still be found on the former Office of Academic Personnel home page, which will remain live until November with relevant links. The directory has been retitled the Directory of University Department Heads and Administrators and will continue to be maintained by the Office of the Provost.

University directories including department and other unit names, addresses, departmental emails, phone and fax numbers, as well as links to departmental/unit websites are maintained by the Division of Communications and Marketing. Please see the directories website for university offices, colleges and other academic units, engagement centers and institutes, research facilities and centers, housing units, and other organization directories.

The Office of the Provost also maintains a department head directory by college with associated address labels. This directory includes the department head's name and email, as well as the departmental phone number, address, and links to the departmental website.

Where do I find the Master Calendar from Academic Personnel, which included dates relating to Promotion, Tenure, Sabbatical, and Annual Evaluation?

The Promotion, Tenure, Sabbatical, and Annual Evaluation Calendar (Master Calendar) shows all dates related to Promotion, Tenure, Sabbaticals, and Annual Evaluations. This calendar is still maintained by the Office of the Provost and available in the department/unit head manual. The Department Head Manual has been retitled as the Department/Unit Head Manual. What other changes have been made and who is maintaining the manual in the future?

The Department/Unit Head Manual is designed as a resource to assist deans and academic department/unit heads who have administrative responsibility for faculty and staff. It is not intended to be a policy manual, but to serve as an operating procedures manual compiling all existing policies related to specific topics with links to relevant citations, operating procedures, and forms.

Policies, procedures, and forms were also maintained under Policies and Forms on the Academic Personnel website. These have all now been integrated within the Department/Unit Head Manual to eliminate redundancy and improve consistency, currency, and maintenance. The Manual is maintained by the Office of the Provost.
