Instructions for Submitting Spring 2008 Semester Final Grades

 

There will be two methods available for faculty to use for submitting Spring 2008 Semester Final Grades.

 

The two methods are the Manual Method (using the paper grade sheets) or the Electronic Method (using the Electronic Grade Submission System—EGS). Faculty will need to determine which method(s) they should use. It is important that faculty understand the method(s) and meet the appropriate University deadlines when using the chosen method(s); see instructions below. Discuss with your faculty which method(s) will be used- manual and/or electronic to determine if paper grade sheets will be used by which faculty. All unused grade sheets should be returned to your office; Your Department office staff will return the sheets to the Enrollment Services Office by noon,Wednesday, May 14. The unused sheets will be shredded.

MANUAL METHOD

1. Using the manual method (the paper grade sheets) is available to all faculty for all courses. Faculty MUST USE the MANUAL METHOD for all short courses and for all DCE courses.


2. The faculty should obtain grade sheets from their department office.


3. Faculty should submit the appropriate grades sheets to their department office.


4. Grade sheets are due in Enrollment Services, 210 Willard Hall, as follows:


For semester final examinations given Mon-Wed, May 12-14
*Due Monday, May 19, at NOON
For semester final examinations given Thu-Fri, May 15-16
*Due Wednesday, May 21, at NOON

IMPORTANT ! GRADE SHEETS SHOULD BE RETURNED TO ENROLLMENT SERVICES AS SOON AS THE INSTRUCTOR HAS COMPLETED THEM; DO NO WAIT UNTIL GRADE SHEETS FOR THE ENTIRE
DEPARTMENT HAVE BEEN COLLECTED.

5. THE INSTRUCTIONS ARE PRINTED ON THE GRADE SHEET.


a. DO NOT ADD ANY NAMES TO THIS ROSTER. The student must submit a Drop/Add form and a Course Section Permit form to the Enrollment Services Office and the instructor must submit a Grade Change Report form to the Registrar’s Office.


b. DO NOT DELETE ANY NAMES FROM THIS ROSTER. The student must submit a Drop/Add form approved by his/her Dean’s Office to the Enrollment Services Office.


6. Methods for submitting grade sheets to the Enrollment Services Office:



DATES Method of Submitting:

a. Between May 12-16 hand carry to the Enrollment Services Office or mail using
Service or USPS.

b. May 12-14 hand carry to the Enrollment Services Office for exams held
M, T, W. Do not use Central Mail Service or USPS.

c. May 15-16 hand carry to the Enrollment Services Office for exams held U, F. Do not use Central Mail Service or USPS.


d. **May 19 deliver directly to Registrar’s Office, 118 Anderson Hall.

ELECTRONIC METHOD

1. Using the electronic method (EGS) is available ONLY to faculty who have received the EGS orientation and for ONLY full semester on campus courses; faculty MUST USE the MANUAL METHOD for all short courses and for all DCE courses.


2. Faculty should not pickup the paper grade sheets from their department office.


NOTE: The department office should hold all non-used paper grade sheets and return them to the Enrollment Services Office by noon Wednesday, May 21st.


3. Faculty should enter semester final grades into EGS as instructed; EGS instructions were provided to faculty during EGS orientation.


4. The schedule for using EGS is the following:


For semester final examinations given Mon-Wed, May 12-14 with grades due on Monday, *May 19 at 11:30am

Start Monday, May 12 8 a.m.
Stop Monday, May 19 11:30 a.m


For semester final examinations given Thu-Fri, May 15-16, with grades due on Wednesday, *May 21, at 11:30am

Start Monday, May 12 8 a.m.
Stop Monday, May 19 11:30 a.m


5. Faculty (for their record keeping purposes) should print an EGS copy (copies) of all the grades submitted through EGS.


6. If directed by the department office (for record keeping purposes), faculty should submit EGS copy (copies) to their department office.

** Grades are late which caused a NR grade to be reported. Grades posted to SIS can be accessed via KATS starting May 22.
