Outlook includes several powerful search features that can help you locate messages faster and with greater accuracy.
Use specific keywords
Instead of searching for a broad term, try using unique words from the subject line or email message. The more specific your keywords, the more relevant your results will be.
Search by sender
If you know who sent the message, search by the sender.
Example:
from:willie@k-state.edu
Narrow results by date
Are you looking for a message from a particular time period? Use date filters such as:
received:this week
received:last month
received:1/15/2026
Search for attachments
Do you need to find a document someone sent? Try:
hasattachments:yes
Use subject searches
If you remember part of the subject line, search only within subjects:
subject:budget
This helps eliminate results where the keyword appears only in the email body.
Combine search criteria
Outlook allows you to combine multiple search criteria for even better results.
Example:
from:willie subject:budget hasattachments:yes
