Actions to take before you leave K-State
Before you leave K-State, there are a few technology and administrative tasks to complete. Whether you’re graduating, retiring or moving on from K-State, taking time to organize your digital files and university resources can help prevent disruptions and preserve institutional knowledge.
Here are several key steps to complete before leaving the university.
Archive important university work
Before your K-State account access expires, transfer any university-related files and materials from your K-State email, Microsoft Teams or personal OneDrive account to a shared K-State location within your unit. This helps ensure colleagues and departments can continue accessing important documents, communications and records after your departure.
Work with your department leadership or local IT support staff to determine the best long-term storage location for these materials.
At the same time, remember to remove any personal files or information stored in your K-State accounts before access ends.
Preserve research materials
Faculty, researchers and graduate students should take extra care to ensure that research data, documentation and related materials are properly archived and transferred in accordance with university guidelines and grant requirements. This step is especially important for ongoing projects or collaborative research efforts.
Review student and employee checklists
K-State provides dedicated checklists to help departing students and employees complete required tasks before leaving the university. These checklists may include account-related items, benefits information, equipment returns and other important reminders.
Taking a few minutes to review these resources can help avoid last-minute surprises.
Remove yourself from mailing lists
As responsibilities shift, it is also a good idea to unsubscribe from mailing lists, newsletters and distribution groups you no longer need. This helps reduce unnecessary email traffic and keeps university departments’ communication lists up to date.
Know your timeline
Access to university systems and services does not remain active indefinitely after leaving K-State. Be sure to review the timelines associated with account access and data availability so you can complete transfers and downloads before access expires.
Additional information, timelines and resources are available on the K-State Leaving the University IT Resources page.
