Division of Information Technology receives the Laserfiche Run Smarter Award for Program of the Year
The Division of Information Technology (IT) has been awarded the Laserfiche Run Smarter Award for Program of the Year for its successful implementation of Laserfiche at K-State. This recognition celebrates the best overall Laserfiche program, in terms of strategy, tactics and results. With this project, IT has delivered a measurable impact and inspired change by fulfilling the K-State strategic plan priority to drive transformation through technology.
Laserfiche is a cloud-based enterprise content management and business process automation software that helps digitize, secure and organize documents. It offers a unified platform for electronic forms, automated workflows and secure document management.
During the first phase of the implementation, IT collaborated with the Office of the Registrar to enhance student and administrative processes. The primary focus was on modernizing high-volume, long-standing processes that had undergone little change over time.
The team identified 32 registrar workflows for automation that impact nearly every student at some point in their academic journey. One of the earliest and most impactful workflows was the academic program change process. Staff previously processed paper or PDF forms manually, routing approvals through email and shared inboxes. This processing typically took three to seven days, with delays common during busy periods.
After implementing Laserfiche, the average processing time dropped from five days to just 11 hours, achieving a remarkable 91% efficiency gain. Within the first three months, staff processed 453 requests digitally, saving approximately 109 hours per form. In total, this translates to more than 49,000 staff hours—nearly eight years of reclaimed work capacity—allowing K-State to respond to student needs more swiftly and provide more timely, reliable services.
“Using Laserfiche to manage our forms has allowed our staff to dedicate more time to other important operational tasks,” said Karen Goos, vice provost for enrollment management. “Rather than spending hours on paperwork processing, our team can now focus on our high-priority initiatives.”
With the success of implementation in the registrar’s office, more departments across campus will adopt the platform. “We’ve seen a strong response from teams eager to modernize their own processes,” said Maleah Lundeen, assistant director of financial and digital solutions. “During phase two we will work with the Division of Financial Services to streamline their workflows and retire legacy content systems.”
Each year, the Laserfiche Run Smarter Awards recognize organizations that have successfully used Laserfiche to enhance productivity, innovate processes, and achieve outstanding results. Members of the K-State implementation team will accept the award in person during the Run Smarter Award Ceremony, taking place from April 27-30 in Las Vegas, Nevada.
