First timecard approvals in new time and leave system due Nov. 10

The first deadlines for employees and supervisors to approve timecards in Kansas State University's new time and leave system are fast approaching.

The new system launched Oct. 26, coinciding with the start of a new pay period. Below are a few reminders before the pay period closes this weekend.

Timecard approval deadlines for the first pay period

  • Nonexempt employees: End of last shift of the pay period or by 10 a.m. Monday, Nov. 10.
  • Supervisors: Approvals due by 1 p.m. Monday, Nov. 10.
  • Supervisors: Please also approve or deny time-off requests promptly.

If you’re a supervisor and your employee works in multiple positions with different supervisors, consider these tips for managing their timecard approvals:

  • You and your employee should communicate and coordinate to ensure clarity and consistency in timecard submissions and approvals.
  • Add a comment to the last punch for your position if you are not the last supervisor to review time. See “How to Add and Review Comments for Timecard Adjustments” guide on the time and leave website.
  • Use your employee’s approval as the signal the timecard is ready for your review.
  • Whenever possible, wait until the end of the pay period to approve multiple-assignment timecards and confirm accuracy with your employee before final approval.

The time and leave website is employees’ and supervisors’ go-to resource for trainings, recordings and quick-reference guides. You’ll also find a growing library of videos and FAQ.
