Hosting Prospective Graduate Students on Campus

Inviting prospective students to campus is one of the most effective ways to showcase your program and help students envision themselves at K-State. The Office of Graduate Recruitment is here to support departments in planning and hosting successful campus visits.

Our team can help coordinate logistics, provide campus tours, and ensure prospective students have a welcoming and informative experience.

How the Office of Graduate Recruitment Supports Your Visit

When departments host prospective students, our office can help streamline the experience by providing:

  • Swag bags for visiting students
  • Visitor parking passes
  • Assistance coordinating campus tours
  • Guidance on visit logistics and best practices

Partnering with our office ensures students receive a consistent and welcoming experience while reducing administrative work for departments. Use the Visit Request Form or email our office (gradapply@ksu.edu) to begin.

Check-In Location for Student Visitors

If students will check in before their visit activities, they should start at the Berney Family Welcome Center.

If working with Grad Recruitment on your visit, departments may direct students here to begin their visit before meeting faculty or beginning scheduled activities.

Visitor Parking Information
  • Parking is free for prospective student visitors.
  • Visitor parking is located in the garage south of the Student Union.

Garage entrance:
Martin Luther King Jr. Drive, north of Anderson Avenue.

Once inside the garage, students should:

  1. Follow the “Future Student Parking” signage into the visitor section
  2. Park in any purple-painted stall reserved for visitors
  3. Use spaces marked “Future Student Parking”

After parking, students can walk across the street to the Berney Family Welcome Center or proceed to their department’s designated meeting location.

Prospective Student Presentation Resource

Departments can access a customizable PowerPoint presentation designed for meetings with prospective graduate students.

This resource can be adapted to include:

  • Graduate School overview
  • Application and admissions process
  • Program-specific information
  • Funding opportunities and student experience

Using a shared presentation template helps ensure students receive consistent information about graduate education at K-State while allowing departments to highlight their unique strengths.

Best Practices for Hosting Prospective Students

To create a positive and well-organized visit experience, we recommend the following steps.

Before the Visit
  • Communicate clearly with the student about where to park and where to meet
  • Coordinate the visit schedule with faculty and department staff
  • Arrange a campus tour if appropriate
  • Obtain the student’s license plate number
  • Pre-register a visitor parking pass prior to the student’s visit

During the Visit

Consider including opportunities for students to:

  • Meet with faculty advisors
  • Speak with current graduate students
  • Tour labs, facilities, or research spaces
  • Learn more about funding opportunities and program expectations
After the Visit
  • Follow up with the student via email or postcard
  • Email gradapply@ksu.edu with the student’s information so it can be entered into Slate (if not already done pre-visit)
  • Provide any additional program information requested during the visit
