HCS Department Liaison Network Session - November 7

Human Capital Services will be hosting another HCS Department Liaison Network session on Wednesday, November 7, 2018, 1:30 – 3:00 p.m. in Business Building 4061. HCS department liaisons are invited to register and attend in person or via Zoom. Please register via HRIS/Self Service.

This session is a result of feedback from all of you and is designed to facilitate collaboration and provide best practices for HCS-related functions at Kansas State University. We hope you will join us to learn about PageUp/On-Boarding Process.

    • Applicant pool - Non-selected applicants need their application statuses updated and dispositioned
    • Requisition - All screening notes and interview notes to the requisition
    • Offer card - Get required information on the new hire such as start date, offered salary, etc.

Please Welcome Richard Augustin to Human Capital Services

It is our pleasure to announce that Richard Augustin has joined Human Capital Services as Payroll Manager. Richard brings experience in the HR, Benefits and Payroll processing arena. He has experience coordinating and processing payrolls, has participated in system implementations, conversions and has worked closely with IT to create reports and other services. He has a working knowledge of multiple HRIS functions including benefits, personal and position data, and reports. Richard's responsibilities include but are not limited to coordinating and directing functions related to the university payroll processes, ensuring payroll data integrity and operational efficiency.

Supervisory Field Added to Position Update Page

Department liaisons now have access to update a position's supervisory status via the Position Update page in HRIS. (Workforce Administration>Job Information>Position Update) It is important that a position's supervisory status is accurate in HRIS to ensure accuracy with regard to identifying supervisor development needs, and accurate reports. When making a change to the Position Update page, please add an effective-dated row and make the appropriate "Supervisory" selection – Leader Worker, Manager, None, Supervisor. The addition or removal of supervisory responsibilities needs to be recorded on the Position Description (PER-1) and submitted to HCS as well.

Additionally, the "Supervisor Report by Department" (Workforce Administration>Workforce Reports>Supervisor Report by Dept) now displays the supervisor's name. We encourage liaisons to run this report regularly to make certain employees have the appropriate supervisory designation in HRIS.

Please contact your Resource Center & Operations representative with questions regarding the Position Update page or the Supervisor Report by Department. Thank you for ensuring position data is accurate in HRIS.


Vacation Leave Accruals for November

The month of November has three pay dates. This means employees who accrue vacation leave will not accrue for the pay period ending November 17, 2018 (paid November 30, 2018). We encourage department liaisons to share this information with employees.

Employees are limited to earning 22 pay periods or 176 hours per fiscal year. Additional pay periods in fiscal year 2019 where there will be no vacation leave accrual include pay periods ending May 18, 2019, June 1, 2019, and June 15, 2019.

Veteran's Day

K-State will be observing Veteran's Day on Monday, November 12, 2018. Veteran's Day is a designated holiday for both university support staff and most unclassified employees; however, it is not a student holiday and classes will be in session. Any employee who accrues annual leave is eligible for Veteran's Day. Note: Most 9-month unclassified employees do not accrue annual leave. Only those 9-month unclassified employees who are non-instructional accrue annual leave if in a benefit eligible position.

HCS provides time and leave scenarios for Veteran's Day to assist in appropriately recording time and leave for the holiday.
