Hoping to move all three systems KSIS, HRIS, FIS to a cloud-based service, things are moving forward and they would like to be done by July. Looking for VMC for DARS, ImageNow, etc.

Feb 20 - office begins batch processing for U19/F19 enrollment, March 1st F20 class schedule open for updates, discontinue students not enrolled for Spring

New Incomplete Policy – hope to run a list of students with incompletes from real-time data and create it as a report that we can run ourselves when wanted. Also need to run at degree posting and do pre-checks to see who may not qualify for graduation when I turns to F. Since things differ from college to college, each college needs to communicate to their own students.

How incomplete extensions are made has changed; now a student needs to initiate this process. The Incomplete Extension form is at https://www.k-state.edu/registrar/students/forms/IncompleteExtensionForm.pdf. Once signed by the instructor it will be sent to the student’s dean’s office to input (could be done by instructor’s dean’s office if needed). Susan will put together some information to send out to both students and instructors to explain.

They are working to modify current grade lapse job so that it no longer looks to see if the student is enrolled and change ALL incompletes to F.

Committee studying auditing of courses by students – Molly McGaughey, Admissions, is leading it. KBOR said we should be tracking these students and they should be admitted as non-degree seeking. People over 60 should not have any fees, but others can be charged. We need to figure out how KSIS can handle this. They plan to survey the instructors to see what has been happening. Then they will look at permission, fees, enrolling, seats in class, waitlists, eid, password, Canvas, licensing and access to other systems, etc.

Tammy Campbell with class scheduling plans to open class scheduling earlier than usual –August 1 - but still be due the same December time. This will allow schedulers more time to get things done. It will be implemented now. Room scheduling may change with 25Life so all rooms are in the same space.

Sandy Lumb retired, Ann Bridgewater from the front desk staff is now filling the position, so now they need to hire for the front desk.

Todd Easton is working towards an All-University Concurrent Undergrad/Grad degree and the Registrar’s office has been working to see how this would work with KSIS. They need to identify students and specific courses at Grad level being used for UG degree. They are testing different methods to make this work. Using the other credit space on transcript to show classes used for both is a possible solution. They are also thinking through DARS process.

Susan – FERPA self-assessment: about 40% of people have it complete. She will send another reminder in April.

Undergraduate Admissions Updates (Blankley)

Matriculations for summer and fall enrollment has started this week – High school and distance students are admitted daily, students coming for O&E are admitted the week before.

CRM Admissions team task force – have an RP for CRM for the university, bids open this Friday and they hope to have one purchased in May to start in August. Listening tours will happen in March and April. They are considering building a webpage to see how things are progressing. Talisma is a CMC company, but they are sunsetting it. They have a CRM product, but we will be looking at all products. Phase 1 will be all UG admissions – Olathe, Polytech, Global.

KSIS Projects/Enhancements updates (Letourneau)

Fluid Class Search and Enrollment – being tested and working out issues related grad credit and dual careers.

Track Student Military Affiliation (Pfaff) – self-service page to self-identify military status. A back-office page that can be viewed on Student Services

Global Campus Confirmation Email Enhancements – finalizing testing

Todd Easton -discussed a proposal for university wide concurrent bachelor and master or graduate certificate programs. Discussion will occur at the CAPP meeting.
