ITS Update (Gould/Wilson)

  • See IT Update Blog for April 9, 2019.
  • See Division of Information Technology Reorganization Chart.
  • Moving ahead to get everything out of data center, the project management process with state of KS is complicated. Hope to have approval by mid-May. Then move all places to the cloud sometime after Labor Day. It should be an easy weekend fix.
  • CRM listening tours go through April 30, looking for list of vendors to invite to campus.

Registrar’s Office Updates (Cooper)

  • Incomplete policy – Incomplete Extension form is found under Registrar Student Forms. It will be processed by Registrar not Dean’s office. Advisor signature was added to form, just as an awareness. Email sent on March 21 to all students with an Incomplete from F18. Distance students have question about getting signatures and getting it through the process.
  • Form on Faculty Staff site for the initial Incomplete form – it is not required, but recommended.

Registrar's Office (Pfaff)

  • Final Exam Scheduling – Lisa Last, Shannon Castleberry, Charlotte Pfaff, and Alison Wheatley, see attachments with revisions to make things easier to read.
  • Section II: courses that begin before 5 pm – there are no changes to policy yet, the chart was just rearranged to make it easier to use. Added AM and PM.
  • Section III: 5 pm or later – added matrix so it matches others,
  • Section IV: put it in a box.
  • Form – Final Exam Request – a special form just for exams, gives options for variety of things, some that need to go to CAPP, others just for Registrar’s office. The purpose is to try to open rooms if room is not needed.
  • End of the Semester – attachment, April 17 – I/NR reports (prior to F18) distributed; May 10 – final grade rosters; May 17 – INR grade lapse, old Incompletes as well as forms for new Incompletes.
  • Other dates: April 24 – run class capacity reports for summer and fall; May 3 – unsubmitted shopping carts; May 28 – official beginning of summer term and PERC run; June 3 – run class capacity again.
  • Autin and Fink are working on Incomplete report for Graduating students, placed in Records and Enrollment. It will have name, ID, course, instructor name, advisor name, etc. They are testing grade lapse job to pick up the new criteria. They are also working on an incomplete extension report – to see students that have extensions.
  • Auditing courses – a committee is meeting to figure out how to track students auditing – can it be done in KSIS? What are other school policies? They are looking to see how many we have auditing currently and discussing any attached fees.
  • In March, Charlotte attended conferences for Alliance and DigArc. Many advancements out there to look at. SSC Navigat also has a scheduler piece.

Undergraduate Admissions Updates (Brown for Blankley)

  • April O&E, 4/22nd and 4/23rd – about 300 registered so far, students will be matriculated April 15
  • Projects in Progress – Common Application will be ready August 1 for first year only for S, F, U 2020. Students can select many schools, then have an additional page with specific question for certain colleges.
  • Military affiliated question will be on the application form
  • Working to get cumulative GPA and transfer hours into Admissions tab that will match with DARS.

KSIS Projects

  • Completed Projects
    • Military Affiliation (Chih-Ching) – March 25 begins phase 1 with self-reported data needed for KBOR Planning and Analysis. 1300 students reported information. There will be a tile on KSIS Student homepage to report the information. It allows students to report their info as well dependent information. The project needs a sponsor/owner to get the program to go forward.
    • Global Campus Confirmation Email (Chih-Ching) – Sends email from KSIS showing admission confirmation and enrollment confirmation. It has been working very well!
  • Current Projects
    • Student Data Warehouse (Letourneau) – progress is being made. Applications files from F2008 undergrads forward.

Roundtable Discussion

  • Mishelle would like to view permissions from other colleges. No progress yet on this. Would like to view at student level by term. In PERC reports, is it possible to see all students that are not meeting pre-reqs – including Quick-Enrolls?
  • Rebecca Gould – Updates to classrooms capacity may be changing. Library first floor will mostly be study spaces for Fall.
  • John – KSU class center allows us to see class capacity and can be run in our offices.
