Wilson opened the floor for suggestions, should be from academic staff.
Dandaneau nominated Karen Pence (HE).
No other volunteers, unanimous vote for Karen Pence.
Ken Stafford retiring (Wilson)
March 25th is his last day.
An interim will be determined, however no details as of yet.
Registrar's Office updates (Pfaff)

Class Scheduling continues for Summer/Fall 2016.
- Is public now, but still finalizing room assignments. Will be complete by Feb 19th.
Staff
- Aaron Stroot moved into Student Finance.
- The position vacated was offered and accepted by Nancy Burgess.
- CSS (Customer Support Service) – Barb Watt retired, scheduling interviews to fill soon.
Reverse Transfer (Cooper)
- Only about 10% have opted in that could be eligible.
- Service Request submitted to add this information to the KSU Advisor center. Would allow advisors to have discussions with student opting in or not, just need to make sure the student is aware of the opportunity.
- Also adding a service indicator to show more prominently in KSIS that a student has opted in.
- Pence asked about instructions advisors could share with students about how to opt in, Cooper will be sending out (See instructions send to listserv by Cooper). Washburn asked about criteria/eligibility, Cooper will send this out as well. McCammant asked what the advisors should say to the students? It’s up to the advisors, KSU does not have to meet any criteria for the number of associates obtained. However, we do need to make sure the students know it’s a possibility.
KSIS Security Access Form
- Reviewed draft copy of an updated form. Student Records and Financial Aid changing the roles listed to display it’s function, not the listed name. Would make it easier to determine what access is needed.
- Easier than using the ‘copy user’ function. Sometimes the user being copied has more access than the new user needs.
- Listed more as tasks performed.
- 2nd page is also being reviewed to make it simpler.
- Grauer asked if there was a form available that shows what roles staff already have? There is not. Cunningham asked for a detailed explanation of how the old roles correlate to the tasks listed.
- Blankley shared how complicated these roles are in KSIS. Letourneau mentioned a report used in KSIS that can list details. Gould asked for a simpler process for the application of security.
Class View Changes
- Weekly View - Continuing to test and develop. A demo was done by Pfaff of the current version in a test environment. Looks good so far to group, more testing to be performed.
- Showed as seen by an advisor via the KSU Advisor Center. Via Schedule Tab. In the test environment, works to show the weekly view first.
- Other areas checked, old advising area (not working yet), student services area (works as is).
- Cunningham and Sanders volunteered to help test.
- Other changes – Change default time to 7:30 to show early classes and late to show evening classes. Cunningham – Can it be made smart enough to adjust to those classes enrolled in? Maybe. McCammant – Some Global classes and by apt classes don’t show in all versions. Dille – Printed schedules don’t consistently show the student’s name. Pfaff will look into these items.
Undergraduate Admissions Updates (Blankley)
Admitted and accepting applications through Spring 2017.
January O&E January 15th. The event will be in the Union ballrooms. Matriculations already started. 150 pre-registered, expect many walk-ins. About 1/3 are freshman.

- Conduct Questions – Grauer asked what the exact 4 questions are? (See information sent to listserv by Blankley).
- Modifications to External Education-Evaluation Information
- SAT Changes – Tests administered in March 2016 forward are different. Dandaneau asked what is the ratio of those that only report SAT? Blankley will get back to him.
New Staff
- Nick Brown – Assistant Dir Operations – Start Jan 19th
- Kent Hildebrand – Assistant Dir – part time for a few months until teaching contract finished.

Integrations:
- EAB SSC Advisor Platform – Daily interface occurring.
- Behavioral Education (Campus Clarity) – ASAP holds may still be there that need it completed. All students will have to do the survey every academic year.
Current projects (Loren)
Migrate KSIS to Converged Infrastructure (Wilson/Letourneau)
- 10 to 12 old servers are the current structure, have had 3 significant hardware failures in the last year. New structure is basically a virtual server environment. The URLs will be changing and will be the biggest observable difference for most users.
- Target Go Live is late July. Test environment will need many users testing across campus.
Student Access Center testing services automation (Letourneau)
- A page that instructors and students can see testing/quiz times. In testing phase now. Plan to a build a Department Center like the KSU Advising Center.
Track Student Internships (Wilson)

Blake has been working with committee. Finalizing a list of ‘internship’ courses. Next meeting Jan 29th. Also working for a definition of ‘internship’.
Course and Curriculum Approval Process (Curriculog) (Nielsen)
- Ruth Dyer and Nielson to co-chair committee. Implementation team identified. Vendor states implementation should take 12 weeks, however we anticipate it will take longer. Hope to have ready by start of Fall 2016.
Incorporate EIS into KSIS (Burkholder)
- Royce Gilbert is project manager. A workflow product purchased, moving forward with the creation of sub-projects.
