Registrar’s Office Updates

Zach’s list (Swartz)

  • Bundle 30 implementation is this weekend.
  • Zach and Charlotte Pfaff met with Greg Eislein about use of course attributes and sub-attributes (Cat Communities, clusters of courses, curricular requirements, search for 1st or 2nd 8-week courses, evening college, honors courses). Direct questions to Zach.
  • Two class scheduler refresher courses have been scheduled.
  • ADV survey opens Oct 21. Questions: Can there be an email to inform students? Can timing be changed to open at same time as ADV holds/ADV appointments posted?

Post Enrollment Requirement Checking – PERC (Swartz)

Concerns:

  • limit of ten students at a time is problematic (Idea: send list of courses to REG who runs report overnight)
  • have to check for transfer course exceptions as PR

Honors/Warning/Dismissal reports (C. Wilson)

Situation: Student without a program/plan ended up on EVERY college dismissal list. Solution: Shannon put in a service request to create error report. John Letourneau will send list to Shannon.

Could we change the “enrollment appointment” box to something else so students aren’t as confused? (Cunningham)

Have 125 characters to clarify – will work on it.

iSIS Instructor-Led Trainings in October (See iSIS Training webpage for details)

New Projects

Acquire Missing SSNs (Letourneau/Swartz)

Division of Financial Services: IRS wants student SSNs on 1098T forms and is fining the University $100,000 for not providing them. Of 800 missing SSNs, 200 probably have an SSN but have not provided it.

Mobile Initiative (L. Wilson)

Students are pushing for information on smart phones. No clear vision for mobile communication/marketing (app), ITS (browser). RFP will be out soon.

Data Warehouse (L. Wilson)

Actively working on data warehouse, but pushed back because of expense ($1.3 million). PreAwards project is proceeding. Possible alternative: data warehouse using master extract.

Current Projects

DARS uAchieve Upgrade (Cooper)

“Go-live” date is Dec 9. DARS will be unavailable Dec 5-8. Tentative date for exceptions training is the week prior to Thanksgiving (Nov 18-22). There is an encoding FREEZE Nov 4 – Dec 9. Client will be disabled Dec 9. Demonstration will be shared at Nov 13 meeting.

Course & Curriculum Approval Process Improvement Committee (Delker)

Committee has met and received charge. Two subgroups established. Surveyed Big 12 schools about automated systems – most have no automated process and want to learn from us.

Comprehensive Undergraduate Advising Screen (Delker/Letourneau)

Replicates the “SRDI” screen in former SIS. Currently gathering information on what to include on the screen and gleaning best practices for advising notes proposal. Prototype will be available to show at November meeting.

iSIS-JumpForward Integration (Letourneau)

JumpForward is a third-party product used by Athletics. Financial aid information is being integrated.

iSIS-MAP-Works Integration (Letourneau)

Kevin Cook (Housing & Dining) provided cohorts, and information was sent to MAP-Works. May bring “green, yellow, red” designations (risk indicators) into iSIS. Can survey be linked from iSIS?

iSIS-QAS Integration (Letourneau)

Address verification software will be integrated into iSIS. Campus Community to get valid address in standard form four times per year.

iSIS-StrengthsQuest Integration (Letourneau)

Working with Michael Finnegan to store StrengthQuest access codes in Student Center/Student Success folder in iSIS. Plan is to integrate five strengths in iSIS at some later time.

iSIS-Maxient Integration (Letourneau)

Maxient is a third party incident management system to be used by Housing & Dining Services. File interface anticipated by January.

Report from Rebecca Gould

Staff migration to Office 365 started last weekend with library staff. Migrations will continue through fall.

CW 101 is being updated in 2014 and will seat 339.

New link for Technology Classroom form will be sent.
