Operational Topics (Crow)
End of Semester Post-Op.
Online grade change block did not work. Faculty were able to submit grade changes online during the time EOS reports were being run. A hard toggle has been added to block grade changes while EOS reports are run. When should the block be removed? (To be determined.) Online grade change and participation validation implementation and EOS went very well. Dean’s offices and departments were encouraged to run the Grade Change Report frequently to monitor.
Curriculum Management > Grading > KSU Grades Reports > Electronic Grade Change Report
Security Review.
CDEANOFC and COLLDEPTSCHED roles were reviewed. Maximum of six CDEANOFC roles are granted per college. Both CDEAN and COLLDEPTSCHED roles require Dean’s Office approval and training for access. Question: Are student worker roles working? Question: should advisers be able to update adviser assignments? (TBD – but general consensus seemed to be “no.”) See KSU Development to run security report. Mike will distribute security documentation for review.
Imaging System (Image Now).
REG would like to change work flow processing for drop/add forms and maybe other transactions using imaging. This will require Dean’s Offices to invest in an imaging system. Some academic units currently use imaging and others are planning to implement it. Cost to unit is $2500 - $6000 plus $200 - $300 annual licensing fee. Contact Loren Wilson for demonstration.
Question was raised about consideration of iSIS advising module vs. DARS. University of Wisconsin and Ohio State are doing comparisons that may be informative to us.
Final Testing of Final Exam Schedule.
Final testing is in progress before putting individual final exam schedules into iSIS. Planned release date is October 2012.
Transitions.
Procedures are being reviewed for transitions when departments become schools or departments move to different colleges.
Student Photos in iSIS.
Review continues for bringing student photographs into iSIS.
Data Management Task Force (L. Wilson)
A Data Management Task Force including Brian Niehoff and representatives from functional areas are meeting to look at current multiple (50?) data sources, reporting, data warehouse and possible development of a “dashboard with metrics” for 2025.
Project Submission Form Update (Blake)
First draft reviewed in May has been modified with suggested changes. The web version was demonstrated.
Connect Update (Angela Chauncey/Scott Finkeldei)
“Connect” (connect.ksu.edu) is a dashboard project to link to commonly used systems and allows messaging and single sign-in. Email curtain@ksu.edu if you want to be in the pilot.
Brief Project Updates
FERPA Self-Assessment (Crow/Cooper/Blake)
Go-live date for FERPA Self-Assessment is July 17, 2012. Three pilot groups have provided evaluation. Check HRIS Self-Service to see if completion is recorded. Anyone can take the self-assessment at REG website (www.k-state.edu/registrar/ferpa/self-assessment/). Publicity plan includes mass email (KSOL, Faculty/Staff), K-State Today, letter in HR New Employee Packet, notification in KSOL and iSIS.
PeopleTools Upgrade to 8.52 (Letourneau)
There have been some problems with upgrade. Implementation may be postponed.
TB Statute (Blake)
Effective fall 2012 new and readmitted (on-campus) students are required by Kansas statute to complete TB screening. Screening questions are in iSIS. If no action by student, a HOLD that prevents drop/add and enrollment will be placed in iSIS.
Set up Olathe Campus (Blake)
Wiki has been set up.
