Identification and management of fraudulent student enrollments

Suspicious Spring 2013 DCE non-degree student enrollments in architecture classes triggered an internal investigation that identified a presumed fraud ring. Groups of 20 non-degree students, all out of state with bogus demographic information, enrolled in DCE and campus classes. The students were dis-enrolled. Presumed intent was to get financial aid, but K-State does not award financial aid to non-degree students.

Results of grade submission and posting for Fall 2012 term

A December 19, 2012 memo to deans and assistant deans identified classes for which grade rosters were not submitted by deadline. There were more missing grade rosters Fall Term 2012 than Fall Term 2011.

Associate Registrar for Student Systems search

Good progress is being made. Search committee will review 14 qualified applicants to narrow the list for on-campus interviews in late January/early February. Hiring should be completed by March.

Start of semester iSIS plans (L. Wilson)

Some “fixes” are taking longer than planned. SGA is sending email to students to encourage going through “Connect” instead of iSIS to get class schedule. The schedule on Connect will update as changes are made, just like in iSIS. Oracle is coming on campus to consult on problems.

Go Teacher technology orientation sessions (Gould)

This program through ELP/OIP/ESL brings students from Ecuador to campus. One-hour sessions about eIDs, passwords, iSIS and KSOL will be held on Thursday for 102 students arriving in January.

New projects gearing up

iSIS-Acalog integration (Blake/Letourneau)

Goal of integration is to get detailed course descriptions in iSIS. Acalog is being consulted via conference calls. Project needs Provost and Faculty Senate support. This should be a major topic at next meeting. Challenges of “when offered” catalog information were discussed.

Track student military information in iSIS (Blake)

A team is working to scope the project of tracking military affiliation, using iSIS as a central information source. Student Financial Assistance is required by federal regulations to provide “cost sheets.” Business processes, information sharing and business needs are being identified.

Brief project updates

iSIS advisor survey and feedback sessions (Blake/Cunningham/Morse)

Sixty professional advisers completed the online survey to identify topics and issues. A committee met and reviewed the responses as a basis for the agenda for two hour sessions for Adviser Forum sessions on February 5 and 6. Examples of “wants”:

  • Student photos
  • “SRDI” screen from old SIS
  • Easily located test scores
  • Post specific enrollment time with enrollment date
  • Allow email attachments
  • System for advising notes (some want notes held privately, some want shared access to notes)

Photos have been moved from ID Center to Identity Management System, and will be moved into iSIS in early February.

Enhance iSIS online course schedule integration (Blake)

Example of enhancement wanted: ability to search by location

Underlying technology is being changed, and progress is being made getting iSIS into “new” class schedule. Neil Erdwien will be invited to the March meeting to discuss what enhancements are wanted.

iSIS-Connect integration (Letourneau)

Connect bar is in test instance. Notifications have to be finalized.

DARS uAchieve Upgrade (Cooper)

Exceptions component is being tested; exceptions don’t save in Internet Explorer. There continue to be a few significant issues, but plan is to “go live” by summer. DARS will look different, and training will be needed.

Reports (Murphy)

Most reports are under KSU Development, but some are buried in other places. Can all reports be put in one place, or is there a listing of all reports and where they are found?

  • This can be done, either with “Navigation Collection” or by moving the reports.

“List of students not enrolled” report (Murphy)

Can the advisor name be added to the report?

  • Yes.
  • Adviser name is deleted when discontinued – sometimes need to know who adviser was.
  • Add adviser name to Honors/Warning/Dismissal list.
  • Add current Honors/Warning/Dismissal standing to adviser list.
  • “Order Transcript” in Other Academic dropdown box needs to be more visible.

Time will be scheduled at another meeting to develop a “wish list.”

Unclear academic statistics in iSIS “Academic” tab (Satzler)

An example of academic statistics for a student with AP grades was shared. Overall hours for determining academic dismissal are not identified.
