Registrar’s Office Updates

Morse retirement.

Monty Nielsen reported that Linda Morse is retiring. June 10 is her last day in the office. Search for replacement has not yet begun.

Overview of major end-of-term processes for spring term 2013 (Auten)

Robert Auten reviewed grade processing dates. An electronic version will be distributed to members. Diana Blake reported that iSIS grade deadline information is online.

Questions: can an iSIS report be created to identify changes of HWD status due to grade changes? Can HWD lists be rerun to pick up grade changes when grades are reported late? Auten will check.

Enrollment for Summer/Fall terms (Auten)

  1. iSIS enrollment appointment error (Cunningham)
    Summer and fall appointment times for some students were offset by two hours.
  2. Why are fall enrollment appointments set before summer enrollment appointments? (Cunningham) This causes problems for students who need to enroll in summer prerequisite courses before they enroll in fall courses.
  3. Why was a new student matriculated and assigned an enrollment appointment? (Murphy)
  4. Can ADV holds and enrollment appointments be applied in sync with Class Schedule release?

    Auten will check into these issues and will share guidelines used in assigning appointments.

    Advisers need to set end date when re-applying ADV hold.

    Beginning next fall term, University Honors Program members will be given enrollment priority to enroll first within their classification. Eligibility for priority will be determined by progress in University Honors Program, semester by semester.

FERPA Self-Assessment stats, next steps (Cooper)

Report was run April 3 and sent to Colleges.

Cohort: 4942 with access to iSIS and KSOL

54.9% completion rate

Send names of those who should NOT be in cohort to Cooper.

PeopleSoft Campus Solutions Academic Advisement Module Update (Cooper)

KU is using advisement module, but modified it extensively.

WSU moved from DARS to academic advisement module.

Multiple schools have examined advisement module and stayed with DARS

Question: Can DARS recognize UNKWN transfer courses for prerequisites? Cooper will check but probably not because application of an UNKWN course may be acceptable in one program but not in all.

Other

Registrar’s Office is consolidating offices and moving all personnel into AND 118 and AND 001 by June 30.

New associate registrar for student systems, Zach Swartz, will be on campus May 7, 8, 9 to get acquainted; actual start date is later. Email is zcs@ksu.edu.

March 2013 Brainstorming Session – Next Steps (Delker)

Summary was distributed electronically. Review and modifications were encouraged – it is a dynamic list and can be updated. Loren Wilson: projects and service requests need to be identified. Further action will await arrival of Zach Swartz. Report will be made by midsummer.

iSIS Steering Committee (L. Wilson)

Wilson shared a schematic of decision-making process for identifying, analyzing and setting priorities for projects.

Brief Project Updates

Demo/feedback: Student photos in iSIS (Letourneau/Blake)

Good progress is being made. Photos are being loaded in iSIS. Screen shots were shared. Availability will be announced in fall.

Academic Users Needs Assessment-Advisor Feedback Sessions (Blake/Cunningham/Morse)

February sessions were held for full-time advisers. Common request was for a single page aggregate of student information (like “SRDI” in former SIS). An example will be shared at the Advisers Forum meeting in May.

DARS uAchieve Upgrade (Cooper)

Project is progressing. Dean’s Offices will be asked to look at audits. “Go-live” is planned by early July.

Projects gearing up

Course and Curriculum Approval Automation (Delker/Blake/Carlin)

Meeting with provost is scheduled this afternoon (April 10). David Delker will let us know the outcome.

Guide to Personal Success (Blake)

Diana Blake is the project manager, and the steering committee deemed this a “high priority.”

Distance Education Reporting (Blake)

Project request came from Planning and Analysis Office to facilitate compliance with reports required by KBOR, HLC, US/DOE and others.

Projects recently completed

Enhance iSIS-Online Course Schedule Integration (Blake)

ISO, Registrar’s Office, and Communications and Marketing, and OME have worked on enhancements.

Track Candidates for Student Elections (Blake)

Project requested by OSAS; enabled students to apply online for offices.
