Student Roles

Adjustment to Student Update role is in place.

Maintain Class Schedule Meetings Tab.

“Staff” has been added as instructor role to designate administrative assistants, department heads and DCE coordinators who submit grades on behalf of faculty or serve as contact for course. When setting up class, verify whether “Print” is checked (name is visible in class schedule) or not checked (name is not visible in class schedule). Also, every class must have the name of an instructor entered; use of “Staff” in lieu of instructor name is not permitted.

ADV Flags.

ADV flag for term is shut off on 68th day of term. Currently there are two ADV flags in place – one for Fall 2011(ends October 28) and one for Spring 2012.

Graduation Subcommittee.

Post-baccalaureate minors graduation work area has been reworked. One hour training for MINORS graduation application processing and PERC (Post-Enrollment Requirement Check) will be held in Fairchild 9 after November 10.

Policy: Degree candidates who have completed a minimum of 60 hours in residence, with at least 50 hours in graded courses, are considered for graduation with scholastic honors as follows:

  • Summa cum laude: 3.950 or above academic average.
  • Magna cum laude: 3.850–3.949 K-State academic average.
  • Cum laude: 3.750–3.849 K-State academic average. "

Graduation Honors.

Preliminary run for graduation honors will be on March 15 and October 15 each term. “Final” run for commencement cards will be run on May 1 and December 1, with verification of honors after final grades are posted. Use completed KSU hours + KSU hours in progress for preliminary honors designation. Can preliminary honors be run by Registrar’s Office for consistency across Colleges?

Spring 2012 Dean’s Office calendar is being updated.

“Eliminate Advisee” Process

“Eliminate Advisee” update process will run on Friday, October 14. The process is keyed off enrollment status.

Overview of iSIS Roles (Crow)

Academic Security Role Access in iSIS was reviewed. Note the “layering effect” of multiple roles – what may not be in one role (e.g. CDO) may be in another (e.g., ADV). There is no easy way to identify who has what role.

Final Exam Schedule Change for Spring 2012 (Crow)

Beginning Spring 2012, final exams again will be rotated one day each term , so faculty need to check the final exam schedule as they plan their spring class syllabi. What’s the best way to inform faculty? Email announcement to iSIS Task Force members to forward to department heads, and also announce in K-State Today.

Midterm Grades Wrap Up (Crow)

Extension of deadline increased return rate. Grade roster report will be modified for midterms so participation can be tracked.
Question: Can “Grades Saved” message be added to grade submission process? Yes.
Question: Can section number be used instead of alpha code (A, B, C, etc) – some students assume the alpha section code is the grade assigned.
Clarification: only DO and departments can run midterm grade report by adviser.

Instructor Code in iSIS Class Schedule (Pence, Morse)

Use of instructor codes (Primary, Secondary, TA) is inconsistent in Class Schedule setup. Pence and Morse met with Chris Feit from Planning and Analysis about use of iSIS instructor codes. P&A does a course load report every three years – National Study on Faculty Productivity (DE) that uses five categories: tenure/tenure track, non-tenure track/permanent instructor, supplemental/temporary contract, GTA primary and GTA instructional support. P&A consults with department heads to sort out TAs for reports. The iSIS terms “Primary, Secondary, TA” are not defined, per Miriam Clark. Recommendation is to use iSIS codes “Primary” for lead instructor, “Secondary” for administrative assistants and department heads who approve grades on behalf of lead instructor, and “TA” for those who teach labs, recitations, etc. under direct supervision of lead instructor.

It was noted that the addition of instructor code “Staff” announced earlier in the meeting allows administrative assistants, department heads and DCE coordinators to be listed in that category instead of “Secondary Instructor.”

Removal of iSIS Faculty/Staff Access (Blake)

Automated process for removing access will be developed after consultation with University Counsel.

Kuali Course and Curriculum Approval Module (Wilson)

Kuali open source software for tracking course and curriculum approval is being looked at.

Following interviews, position will not be filled. Options for meeting training needs are under review.

Project Updates (Crow)

Student Planner

is being tested and will be moved to production with soft opening the end of October. “Last offered” report will be run but no courses will be inactivated without going through academic process.

PERC

is close; will test after November 10 with plan to make it available in January. Access will be through DO role; may move to departments later. Students will be dropped unless a HOLD prevents drop.

Automated Grade Changes

proposal has raised concern that faculty will not turn in grades on time because it will be so easy to change from “NR” to a grade later. Time length for electronic changes (five years, after which paper form must be submitted) will be tied to the class date, not the student. Question: is an audit available to identify automatic grade changes from “I” to “F”?

Post Baccalaureate Minors (Blake)

Work continues on graduation work area and reports.

Designate Access

(Phase 1: Student Financial information) Student pages for designating access are being developed as is designee view. Ability to publish student bill (instead of using CASHNet) is in development. Rollout is planned for first of January 2012.

Demonstration: Electronic Ordering, Payment and Delivery of Transcripts via AVOW (Cooper)

Cooper demonstrated online transcript ordering process.
