Items from List (Crow)

The program to delete inactive advisees (those not enrolled for fall 2011 term) was run July 5, 2011 and caused some problems for Salina campus. Should June/July run be deleted? Consensus was to change date of the run until after classes start in August.

Tabulation graphics have been published. Mike will send links to view. Let him know if graphical representation is helpful.

MLANG 001 Study Abroad will be changed to non-standard term with end date one month after regular term to allow more time for receipt of international transcripts.

Planner update: working on how to hide list of classes “from beginning of time” that no longer are available. Implementation is planned for October. “When offered” information needs to be more complete. Susan Cooper noted that ability to run DARS “What if” with planned courses will be dealt with after planner is implemented. Planner training will be held in Fairchild Hall lab at a later date.

Automated Grade Change Audit Proposal (Crow)

Proposal to automate grade change report process was reviewed. Screen shots were shared.

  • Tightens security when compared to paper forms.
  • Anyone with “Grade Approval” access can submit grade change; all with grade approval access will be notified of change.
  • Can set limit on how far back to allow computer submission and can limit grade change submission for graduated students.
  • Is “I” one of the grade choices?
  • Will students be notified when “I” converts to “F”? No. This notification would be helpful – many students do not know/understand that “I” becomes “F” after next term of enrollment if class is not completed or continued as incomplete by instructor.
  • Registrar will communicate change to faculty.
  • Access to grade change audit?

AVOW Transcript Ordering (Crow)

Soft “go-live” has been successful. About 1000 transcripts have been processed; 33% have been electronic. Process has been well-received. Marketing will promote use. Cost for currently enrolled student is (no charge) for transcript plus $5 for PDF delivery. Cost for former student is $10 for transcript plus $5 for PDF delivery.

Post-Baccalaureate Minors Implementation/Communication (Crow)

  • Implementation is going forward.
  • Communication plan is being developed by Loren Wilson, Mike Crow, Diana Blake, Rebecca Gould and Barb Nagel.
  • Admission application is being modified so students can apply for admission for post-baccalaureate minor.
  • List of directors of minor programs is being put together.
  • New policy will be emailed by Provost to deans, department heads, minor program director, and CAPP members (to be forwarded to advisers).
  • Minors are being pulled from degree to non-degree status.
  • Minor Declaration Form, signed by director of minor, will continue to be used.
  • On-line graduation clearance to award minors will begin Spring 2112. Training will be required in December/January.

iSIS/Central Authentication System (CAS) (Wilson)

Early discussions are underway about “single sign-on” for integration into iSIS that would change login procedure.

iSIS Trainer Replacement

Position has been approved; may be an internal search.

Is online training for new advisers available?

Post-enrollment Requirement Checking (PERC) (Crow)

Brad Cunningham, David Delker, Larry Satzler and Mike Crow will work on PERC – automatic checking for successful completion of prerequisites that were in progress at time of enrollment. Pilot in August. Training will be needed for College Dean’s and Departments.

Instructor Designations: Primary/Secondary/Teaching Assistant (Morse)

Questions have been raised about use of these terms, especially when to use “secondary instructor” and when to use “teaching assistant.” How should administrative assistants be coded? What about graduate students who are instructors? Are there guidelines? Linda Morse and Karen Pence will check further.
