Master Extract Access (Crow)

Initially access to Master Extract was restricted to Dean’s Offices because of complexity of data. Access to Master Extract can be expanded to department offices, but extensive training will be required, perhaps rolled into class schedule training. Dean’s Offices also need refresher training.

Class Capacity/Room Capacity (Crow)

State Fire Marshall has adopted International Building Code which increases square footage per occupant from 15 square feet to 20 square feet in classrooms without fixed seating. This will impact room and enrollment capacities in approximately 100 classrooms. Sharon Huck will get information out to impacted departments. Notification plan is being developed.

Grades (Crow)

“Post-op” of December grade posting. 30 cases of “glitches” were identified and there were fewer unsubmitted grades than previously. Complaints were about PeopleSoft glitches. Grade message appeared to work. Be sure to check that instructor is set to APPROVAL in all classes. Home page message will continue to be fine-tuned.

Midterm grades. Quick fix includes all non-standard classes, but doesn’t differentiate based on class meeting dates, so there will be midterm grade rosters for classes that have finished (e.g. CIS101) or not yet started. Email messages will be sent to remind about availability and closing dates for midterm grade rosters.

Failed grade report. Need for “D and F” report was noted, but hold on for another semester. Oracle may be developing a post-grade posting requisite check that will resolve the problem. Impact on financial aid needs to be discussed. Mike will send preliminary information.

This report is not available to DO role. A similar report may be developed so Dean’s Offices can more closely monitor “Incompletes.”

iSIS Academic Users Needs Assessment (Blake)

Faculty, staff and dean’s office groups of 8-10 each will meet beginning in November to identify areas where iSIS is NOT meeting needs. User groups will be established for usability studies. Participants will be selected by direct invitation and open invitations. How will expectations that cannot be met be managed? Have to let them know what’s not possible.

Items from List (Crow)

  • Reserved seating update appears to be on track for March release.
  • Unsubmitted shopping carts: students will be sent a message before 7th day of fall and spring term; also will be sent message in November and April after scheduled enrollment appointments end.
  • Weekly schedule view: current default shows 8:00 AM to 6:00 PM. Does that need to change? Can default be changed from full week (Mon-Sun) to work week (Mon-Fri)?
  • Can EmplID be shown in addition to WID in “My Advisees”? Will do. Suggestion: add WID every place EmplID is posted.
  • Why is plan no longer included in SEARCH in Student Services? Use Student Services Center (Student) – it’s there.
  • New Academic History: receiving mixed reviews. Does not include EmplID or student plan. Some want old format as well.
  • Withdrawal form is being modified.
  • Adviser/Advisee update was run yesterday (February 8).
  • Can graduation application for BOTH spring and summer be available to students on the same date? Too many August candidates who plan to participate in May commencement have applied for May graduation because it was the only graduation application available between January 3 and February 1. Consensus was to change to one date. May and August graduation application will open January 3. December graduation application will open August 12.
  • UGE service indicator has been applied ONLY to enrolled students. Continuing students may change from UGE to K-State 8. If an error is made removing UGE service indicator and student needs to be in UGE program, only Dean’s Office role can reapply UGE service indicator. For May/August graduation, students finishing degrees in absentia have to have UGE indicator applied. All new students (and readmits) admitted beginning summer 2011 will have K-State 8 general education requirements.
  • Topic for discussion: “Quick Enroll” access across colleges.
  • Why can’t Dept Office role run FERPA reports? Mike will check.

iSIS Task Force was joined at 10:15 AM for K-State 8 presentation coordinated by Vicki Clegg.
