Review of iSIS Portfolio of Projects (Blake)

K-State 8

project is wrapping up; answering lots of questions. A printable page that lists courses by “tag” for each term (one page per tag) is in development.

AVOW project

(electronic transcripts) is coming along. A check for HOLDS will be made before allowing entry to site to request transcript. A $5 fee will be charged for PDF transcripts to cover cost of certification/security. AVOW will be especially helpful to alumni and former students. Implementation will occur after post-graduation transcript rush.

Planner project

is moving along and will go live in fall. Students especially want this feature. “When Offered” spreadsheets were distributed previously; make any changes ASAP through “Expedited Course Change” process. Adding “planned courses” to DARS audits will be investigated.

CES Internship project

is on-going and moving forward.

Post-Baccalaureate Minor project

is close to wrapping up. iSIS piece is still in development.

Academic Users Needs Assessment

has met with two student groups and has six more student groups are scheduled in April. Professional advisers group will be scheduled in late May or early June (prior to June Orientation & Enrollment), and faculty adviser group(s) will be scheduled in fall. Dean’s Offices should be contacted for names of professional advisers.

Web Applications

usability study has been completed. One feature being addressed is ability to save and return to complete application.

Parental Access

project statement has been drafted. In next two weeks, “business owners” (student schedules, grades, financial aid, billing, possibly KSOL) will provide information. There is faculty concern about parental access to KSOL and potential for inappropriate parental interference. Another concern is how faculty will know which students have given permission for parental access and the types of access granted.

Maintenance and Management

initiatives were briefly reviewed.

Initiatives Under Discussion

were reviewed. The following items were added.

  • Automation of grade changes
  • Acalog and iSIS interface
  • Reporting dashboard (provides organized site for reports for dean’s offices, dept. offices)
  • Adviser comments
  • Expansion of imaging
  • Automation of drop/add/withdrawal

Loren asked how to prioritize initiatives under discussion. iSIS Task Force, FS/Academic Affairs Committee, FS/Committee on Technology could be involved. Who defines the working group? Who will work on it? Should there be a retreat for stakeholders? Correlation with Carlin/Crow priority list?

The top three items to address appeared to be curriculum changes (program/plan changes), grade changes, and drop/add/withdrawal.

Demonstration of iSIS Operations Calendar (Blake)

was postponed due to time.

End of Semester Tasks

Note item #3: “Department Schedulers should review the list of No Approved Grader to ensure that each class has a grader with APPROVED security.” Verify that every class has an instructor with APPROVAL status.

On item #4: Dean’s Offices can run the I/NR Grades Report at any time. The report will be distributed by the Registrar on Tuesday, April 26 and is due back to the Registrar by 5:00 PM on Tuesday, May 10.

Question: can ethnicity be added to HWD lists? This information is helpful for reports.

Minors Processing Refresher training will be held in May.

Spring 2012 Class Schedule development: “1st pass” due to dept. heads by May 20.

An email message will go out on April 30 to students who have classes in their shopping carts for summer/fall enrollment.

Test instance will be cloned April 20; repeats will be tested.

Question: does Academic Fresh Start (AFS) still require manual review? Yes. Only a small number of students are in AFS program.

Final Exam Schedule is not yet in Student Center, and probably won’t be until Fall 2013 exam schedule is finalized.

Lynn Carlin and Mike Crow will reconcile working lists and provide a consolidated list for discussion at next iSIS Task Force meeting.
