Fit/Gap Update (Lynn Carlin)

Fit/gap analysis started November 9 and will continue through December 31. SR, ADM, CC, Self Service, Student Financials, and Financial Aid have consultants. Functional leads will review modules (current/new) with consultants. By December 31, Yolanda Howard will pull together a report to vet with stakeholders.

Questions:

What about the iSIS advising module?

  • There is no functional lead for advising, and the advising module will require most consultant time.
  • Will work with provost to identify a functional team by December 31, with examination in spring for decision. To be decided: DARS vs. iSIS module; implementation.
  • Complications: problems with iSIS advising module has caused some institutions not to implement it. Company that did the “bridge” between DARS and iSIS has gone out of business without providing documentation to K-State.

Textbook Reporting (Lynn Carlin)

Lynn chairs the textbook reporting committee. Information about textbooks has to be included in the class schedule by July 2010. Three bookstores are involved: Varney’s (Manhattan campus), Follett’s (Salina campus) and VM Supplies (Veterinary Medicine). The University is responsible for collecting textbook information, but this year Varney’s will serve as repository for textbook information with imbedded URL link to bookstores. A possible future solution is to use iSIS. Faculty will be required to submit textbook information. Technical team will work to have links in iSIS with textbook information by February. Who should be the functional lead? Will submission of textbook information be linked to class schedule development?

Other Items

Graduation Application spreadsheets are due to REG by Friday, November 13.

  • John Letourneau plans to have grad app ready to test in the first week in December and ready to go live by January 4.
  • Clarification on Census Hold (CEN): CEN hold will be applied to graduation application for seniors, and to enrollment for continuing students.

Agenda items for December meeting:

  • Reporting needs
  • Academic Fresh Start GPA for dismissal and honors (John Letourneau will do an analysis of where AFS/GPA is in iSIS.)
  • Program/Plan change electronic form
  • K-State 8 selection box (to change from UGE to new GE program) – maybe use service indicator? Effective date for K-State 8 program is Fall 2011; John Letourneau’s deadline is February 11, 2011 in preparation for Fall 2011 enrollment in March.
  • Training
  • Notifying faculty when grade rosters are open. (Non-standard classes, midterm academic progress reports)

Revamped “Tips and Tricks for Faculty” will be attached to Monty Nielsen’s email to Pro/Fac/Staff list.

What can be done to encourage students to use Student Center? There has been no training for students and they either don’t use it, or have difficulty navigating it. John Letourneau may be able to do an “opening page” with clearer information and most important information upfront.
