Graduation Processing (Yolanda Howard)

  • Report is not yet prepared but should be available for the September 2009 meeting.
  • Date to turn off graduation application: December 1. Applications after December 1 will have to be paper applications manually processed.
  • Question: should there be a common due date for student submission of graduation applications? Decision: Continue previous policy of submission by the end of the 4th week of classes for fall/spring terms, and by the 2nd Friday in June for summer term. For Fall 2009, the student application deadline will be September 21. The spreadsheet list is due from Dean’s Offices to Registrar’s Office on October 12.

Midterm Grade Submission Deadlines (Mike Crow)

Midterm grades can be submitted September 21-25. Online training is available at iSIS Help.

Final Grade Submission Deadline for December 2009 (Mike Crow)

Submission deadline will be changed to 5:00 PM on Tuesday, December 22. Faculty Senate will be notified.

Linda Morse distributed “Basic Q&A’s for Student Inquiries – Fall 09” designed to minimize call transfers by helping staff who receive questions about enrollment refer callers to the appropriate office for assistance. Electronic version is available at this website.

Census Survey (Mike Crow)

The Census Survey is federally mandated every ten years. Last time, the survey was completed through KATS. This time will be done through iSIS, in the same manner as the Advising Survey is completed each fall term.

In Spring 2010 term, the Census Survey will be active from January 5 to April 28. Students who click on the “Application for Graduation Clearance” will first be directed to complete the Census Survey. Students who click on “Enrollment” to enroll in Fall 2010 classes will first be directed to complete the Census Survey.

Concerns: the Advising survey is difficult to find in the Student Center, and therefore frustrates students. The Census Survey will be similarly difficult to find. Response: A focus group of students will be used to identify problems and solutions.

The K-State 8 General Education Requirements (Yolanda Howard)

Vicky Clegg distributed a spreadsheet of courses at the end of July with an October 16 due date for tagging courses with K-State 8 designation. Questions will be addressed by the General Education Council. Issues with DARS, iSIS and Catalog are yet to be resolved.

Textbook Reporting Working Group (Yolanda Howard)

New Federal regulations require that by Fall 2010 universities publish textbook information in the class schedule to allow students to shop for the best textbook prices. The Fall 2010 class schedule will be published in mid-February 2010. The working group is meeting with bookstore representatives for both Manhattan and Salina campuses.

iSIS Upgrade Status (Yolanda Howard)

Request for quote for consultants to do fit/gap analysis has gone out; bids close August 19. Funds are not yet secured, but if the project is funded, interviews will follow. Analysis will be done from mid-September to mid-November. Concurrent with fit/gap, working group will look at academic advisement, looking at what we need, not DARS vs. PeopleSoft. (Suggestion: review work done by group headed by Mel Chastain several years ago.) Upgrade needs to be completed by June 2010. A new business model will change from “major upgrades” to “feature updates” in the future.

Other Items

  • Academic Fresh Start/Academic Forgiveness: Adjusted GPAs are not appearing on student record. Response: was working but isn’t now – they are working on it.
  • Replacement retakes are not appearing for summer. Response: Summer retakes will not be applied until end of summer term – August 28. Reminder: Grades approved and saved by faculty will be posted overnight. Grade posting is not immediate; grades are posted every night during summer term.
  • 9.0 will have an upgrade to the permissions function. The “permissions role” is available to faculty by request.
  • “Quick Enroll” should not be used to enroll students in classes outside the college/department without consultation with the department that offers the course.
  • The request was put in recently to change default to search for “All Sections.”
