Warning and Dismissal

Jennifer Gehrt reported the plan for generating warning and dismissal letters. (Handout: Proposed Dismissal and Warning Letter Process in iSIS) Training will be provided.

  • Once academic standing is assigned (December 23 for F08), run SQR process to pick up everyone with warning or dismissal standing for letter generation.
  • Run the warning list and generate warning letters using csv file download to merge into letters. Mailing labels can be created from cvs file (Excel).
  • Same process will be used to generate dismissal letters.
  • EN is interested in e-mail notification as well.
  • “Honors” designation is stored in a different place; not sure how that will work.
  • Generation of list of Academic Registration Holds (ARH) is biggest unknown.
  • Graduate School is more complicated due to multiple types of probation.

Dropping Last Class Causing Confusion for Distance Students

Linda Morse expressed concern that previously DCE would drop last/only class for distance students, and now those students have to withdraw through the Dean’s Offices.

  • She requested a generic e-mail address for each College for students to contact.
  • Students should be asked, “Do you plan to return this semester?” (e.g., dropping first 8-week course but adding second 8-week course) We need to talk to student to determine plan to return. If degree seeking, student will have to apply for readmission through the Admissions Office. If non-degree seeking, student can go back to “Quick Admit” through DCE.
  • Colleges need to identify exactly WHO to contact, with phone and e-mail.
  • Idea: provide URL for contacts.
  • Linda will send link for review.
  • Carol Shanklin noted problems with “Graduate non-degree” (admitted by department as non-degree student) vs. admission as “Graduate ZZZZZ.”

Calendar/Security

Mike Crow reviewed current practice.

End of 1st week – student access to open enrollment ends
End of 3rd week – student/DO access to enrollment with permission ends
Fix is needed for non-standard classes for permission required after 1st day of class

Mike will generate a list of who has permission authority.

Some areas are experiencing problems with enrollment exceeding room capacity – sometimes due to instructor demands, sometimes due to errors when granting permission. In the next iSIS version (9.1, available Fall 2010), permission will not override room capacity.

Some areas want waitlists to continue past first week of classes. To be considered: ask FS to change enrollment permission requirement to end of second week of classes (instead of end of first week of classes), and delay application of ADV flag until end of second week.

Reporting

Jennifer Gehrt distributed a handout “DRAFT – iSIS Records and Enrollment Extract.” CDeanOffice role will be required. Up to five persons per college may have CDO role, but training will be required for access.

Examples of reports needed:
Master List by Curriculum
Honors Book (GPA ranking of students)
Non-standard grading report (students requesting A-Pass-F)

Questions:

  • College of Education needs SSNs for teacher licensure recommendation. (Security issue; contact Lynn Carlin)
  • Can selection by plan be all or primary? What about sub-plans?

Upcoming

Next challenge: grades. (Handout: iSIS Entering and Approving Final Grades)

Faculty will be notified when grade rosters are available. For Non-Standard courses, faculty approves grades, grades are posted every night and can be viewed the next day. Review drafts of “Entering and Approving Final Grades” document and send comments to Jennifer Gehrt as soon as possible.
