David Delker convened the meeting, and Mike Crow proceeded through the weekly list.

Adviser Table

The Adviser Table includes all faculty and unclassified professional staff. In conjunction with plan conversion, the table will be run again without the adviser box checked, then will re-run with check for anyone with an assigned advisee. (First run has the adviser box checked for all, which requires that the box be “unchecked” for those who are not advisers.) When table is finalized and following conversion, Dean’s Offices will have to maintain adviser status (check and uncheck adviser box). Graduate School will update graduate advisers as part of “milestones.” No action is required until after Thanksgiving.

  • How do we get a list of advisers? Run a report.
  • Will College Dean’s Offices be notified when table is ready? Plan, forms posted on SAMBA.
  • Don’t attempt to add a person – rely on Human Resources to add, then update adviser status.
  • In production, the primary program/plan will roll over.

Class Schedule

  • Do as much as possible during first two weeks of November.
  • “How done are you?” Responses varied from 0% to 40%.
  • Mike distributed a basic “to do” list. Push hard the next three weeks.
  • Make decisions on requisites. Deadline is November 29.
  • List of class schedulers with update capabilities and with view-only capabilities was distributed for verification of accuracy. List does NOT include those with Dean’s Office role but those individuals have update capabilities. See also the security profile (roles) spreadsheet Mike distributed by e-mail (August 21, 2007).

Roles

  • Student worker role is yet to be defined. Review the roles spreadsheet distributed in August as basis to define the Student Worker role for Dean’s Offices.
  • Advisers may have two roles – faculty self service, plan changes (ED, BA).

Requisite Testing

  • Graduate bypass – Mike needs to known asap if Colleges want his student worker to add graduate bypass to course requisites.
  • Clarification: use grade of 2.0 if grade of “C” is required – don’t divide by 3.
  • A December deadline may be possible for requisite entry.
  • Question: will requisite be met if in progress at time of enrollment? Yes – and once enrolled, there is NO VERIFICATION that requisite course was passed, or passed with required grade. Student will NOT be dropped from course if requisite course is not completed with passing grade or requisite grade. A report can be run, and students dropped manually following grade posting.

Program/Plan

  • Mike will send e-mail about Thursday, November 15 (10-11:30) refresher for Program/Plan. (optional attendance)
  • A follow-up session will be held on November 29.
  • During week of November 19 – hold on to all curriculum changes, then do dual entry after Thanksgiving.
  • Mike will convene a “SWAT” team (Gina, Mary Anne, Marian, Molly, Janelle) to brainstorm daily activities to clarify instructions.

Permissions

  • Faculty will give “permission” (consent), with entry by those with “Special Permission” role.
  • Special permission role can override by program: capacity, consent, pre-requisite, waitlist. To be determined: will Dean’s Office role override university-wide or just within user’s college? In previous discussions, everyone with override capability would have access to everything, but now it appears security can be added to limit access according to college. Salina and DCE may require the broader access.
  • A report of those on waitlists as of Day 7 was requested. Waitlist disappears after Day 7. The report will help faculty continue to manage admission to a class.

Course Data Sheet

  • Course data sheet (to add course, delete course, or change course) is available on SAMBA.
  • Review and send comments to Charlotte Pfaff.

Class Schedule

  • Report folder – missing instructors, etc – Brian has instruction sheet.

Load Testing

  • Load testing begins next week (week of November 5).
  • 1st test: 2000 concurrent users will enroll.
  • 2nd test: enroll with requisite checking
  • 3rd test: manual intervention
