Meeting Notes October 3, 2007- 11:00 A.M.

David Delker convened the meeting, and asked Mike Crow to proceed.

Class Schedule – Training Session for “Getting Started”

  • Reminder that two (duplicate) sessions are scheduled for Thursday in Fairchild 9.
  • Preparing to run HRIS interface to provide instructors for Class Schedule.
  • Do not have to check “Adviser Check Box” now, but will later to have adviser role assigned.
  • After the interface is run, additions/deletions to advisers will have to be entered by Dept or Dean’s Office. (Either Dept or DO can do; who does it depends on College practice.)
  • Both undergraduate and graduate advisers should be checked. Graduate School will update assigned adviser when program of study is filed and major professor designated.
  • Advising flags will have to be changed to grant access to enrollment. (Mike will check to see if anyone with adviser’s role can change any student’s advising flag.) Discussion about being able to track WHO changed a flag. Probably can be done but not easily.
  • Class schedule is to be completed by December 14. Can review classroom assignments in January. Goal is to minimize changes to be made in August.

Permissions

  • Remember: Consent is applied to SECTION. Permission is applied to STUDENT.
  • Agreed: students can drop/add through self-service through Day 7 of semester. What about Days 8-21? Can students add themselves with permission applied? Can they drop classes? (TBD) After Day 21, students drop/add through Enrollment Services. Self-service and Quick enroll will be closed.
  • Who gives permission? Who enters permission? See handout titled “Class Permission Numbers” -- example of a possible screen for monitoring legal room capacity when considering request for permission. Discussion again about being able to track WHO gave permission because anyone with access can give permission for any class. Probably can track but not easily.

Withdrawals

  • Will continue as is done now. Students will not be able to drop all classes after term has begun. Withdrawal initiated in Dean’s Office and processed in Enrollment Services.
  • PROBLEM: Withdrawal drops ALL CLASSES – including the next semester’s classes if enrolled. (e.g., fall classes will be dropped if student withdraws from intersession or regular term summer classes).
  • If withdrawn, student will have to apply for readmission for next term (e.g., attended S07 but withdrew with intent of returning for F07 – would have to apply for readmission.)
  • Withdrawals and readmits: functionality and procedures need to be sorted out.

DARS

  • Still some problems.
  • Those with adviser role will be able to run an “Academic History Report” similar in format to a transcript in terms of recording semester gpa and cumulative gpa. Those with only instructor role will NOT. Concern was expressed about computation of gpa in DARS vs. “true” gpa.

Tomorrow and beyond

  • Class schedule is open and available for updating.
  • Try live access, but practice on CS1.
  • Probably will move to CS2 soon.
  • As you work back in forth in Production (iSIS live) and CS1, it’s helpful to label your monitor with a sticky note to remind you where you are (PROD or CS1)– so you don’t “practice” in the real system.
  • David Delker volunteered to share techniques for testing requisites. Will be scheduled in F9 on one of the Thursday “help session” mornings – TBA.
  • Jennifer Gehrt met with the Council of Deans and suggested demonstration sessions for administrative councils. Deans should arrange the sessions.
