College/Registration and Records Liaisons

Mike Crow distributed a list of teams who will work on specific topics/functionalities during iSIS implementation. Mike will e-mail a few corrections to the list.

iSIS Student Support

Jennifer Gehrt distributed a copy of the iSIS Student Support page that will be posted on the Web on Feb. 22, 2008.

  • Topics will be linked to instructions that “walk” the student through info/procedures.
  • Some links will not yet be active and will be noted “Coming soon. View iSIS Transition Schedule.” (Example: “Update personal information” will not be available until June 1.)
  • “Edit Class Enrollment Options” will change to “Change Class Section.”
    • Change number of credits for a variable credit course
    • Change grading option (graded or A/Pass/F)

Question: Can students enrolled in a course with multiple components (e.g., LEC and LAB or LEC and REC) change one component without dropping the other(s)? Yes.

Sample bookmarks were distributed. They will be printed and delivered to Dean’s Offices for distribution to advisors to give to advisees. (Exceptions: AS and AG bookmarks will be delivered to departments.)

“Faculty Help” will be up on Friday, Feb 22. Topics: viewing grades, academic history, degree progress (DARS). Transcripts will be available in PeopleSoft by fall.

Program /Plan

There is a problem with security – please change plans only within own College program.

Class Schedule

F08 class schedule is closed to colleges. Continue to send F08 class schedule corrections to Sharon Hauck. When security issue is resolved, college access to class schedule to enter instructor changes will be implemented.

Sharon hopes to post the Spring 2009 class schedule in March so departments/colleges will have more time to work on it.

Thursday night: F08 class schedule will be posted, students loaded, and advisor flags set.

Pilot Enrollment

Mike will e-mail advisors for students in the enrollment pilot on Thursday night, and will e-mail students in the pilot on Friday. Both e-mails will be copied to Task Force members.

Enrollment appointments can be reviewed on March 7. Students in the pilot will see their enrollment appointment as assigned during the pilot enrollment period.

Question: will there be an enrollment chart?

Could be – probably in a different format. If there is, a link will be added to the Student Help page. ADVISORS need the chart to manage advising times – otherwise they will have to look up each student individually. The chart could be pretty generic – since there are not “starting times” for iSIS enrollment appointments, the chart could list “116 hours or more completed – enroll March 24”, etc.

Advisors can change flags beginning Feb 22.

Future Training for Faculty/Staff

  • Brian Arthaud-Day plans to offer regularly scheduled training times once we get through this current round of advisor/Dept/DO trainings is completed.
  • On-line training also will be developed.
  • There may be a “third level” of training needed for Dean’s Office Staff and Department Staff.
  • Task Force members noted the need for specialized sessions for advisors who will use only one or two iSIS functions, e.g., “how to run an academic history “ for graduate advisors. (Would Grad School want to have specialized sessions to cover the most important information graduate advisors need to access???)
  • Handout: Brian’s PowerPoint for training Dean’s Office Staff role
  • What reports are departments expecting?
    • Honor Book (ranked lists, beginning and end of term)
    • End of Semester reports
    • List advisees by advisor
    • List students by plan
    • Census day report

Departments eventually may be able to run reports; there will be training.

DARS

Question: How will DARS be accessed in iSIS? Use WID. Use emplid.

Plan Changes

Questions from Mike:

  • Is processing time for plan changes better? Yes
  • Is the default “=”? No. (Has to be changed several places – they are working on it.)

Moving Requisites to Production

(In CS-2) If approved and moved, greyed out.

Reserve Capacities can be tested in CS-2.

Suggestion for the Good of the Cause

As we move into advising and enrollment, share problems and solutions on iSIS Task Force listserv – we can learn from each other’s experiences.

Graduate Advisors/Graduate School Procedures

Carol Shanklin:

  • Graduate School will assign graduate advisors based on information from program/department.
  • When the Program of Study is filed, the graduate advisor will be updated to major professor or a major professor will be assigned.
  • There will be no change regarding “advising flags” or advising service indicators for graduate students – current practices will continue. (Only those graduate programs who require advisor permission for enrollment will have negative service indicators applied.)
  • Carol will send a report listing graduate advisors. Run the instructor/advisor table to confirm the advisor box is checked (or unchecked for non-advisors).
  • Process for assigning graduate career to undergraduates, and undergraduate career to graduate students:
    • A web form is being created for the Graduate School website.
    • Students will submit form requesting career needed.
    • Forms will be reviewed daily.
    • If career is approved, student will be notified by e-mail.
