David Delker convened the meeting.

Adviser Training

Brian and Mike reviewed training plans for advisers.

  • See attached schedule for adviser training in Fairchild 9 (also distributed by e-mail 12/18/07).
  • Prefer colleges to come as a group if possible – to better address college-specific issues.
  • Sign up for training through HRIS.
  • Additional times can be scheduled on M or Tu in Fairchild 9, or on W, Th, or F in college labs (if hardwired), or by special arrangement.
  • In-person/hands-on training for advisers is STRONGLY encouraged. (Web-based on-line training will be available for non-advising instructors, but advisers will be better served by training in person.)
  • Question: will security access be needed? Security access will be required, but NOT for the training session. Security access forms will be distributed to advisers at the end of the training session.
  • February 22: access to production available. If advising earlier, will have to make special arrangements.
  • Training coordination: one contact per college, who will then distribute information to advisers.

Discussion about Other Training

  • All faculty (but only faculty) will have automatic access to iSIS for instructor role – no security form required if assigned to department for teaching.
  • Training will be available by end of March.
  • Rosters can be printed by faculty using self-service, or by DO, or department office (for recalcitrant faculty).
  • Grade entry can be done by teaching assistants, but grade approval can be done ONLY by instructor. (A staff member can be designated as instructor for grade approval – uncheck “Print in Schedule” box to hide name.)
  • There is a possibility that colleges will continue to have Class Schedule access to change instructors instead of submitting changes to Enrollment Services.
  • Earlier training is desired for department heads. Security Access forms were distributed – copy, complete, sign and bring back to the next Task Force meeting.

Ongoing

  • Mike and Steve are finalizing roles, except for “Student Worker” role, which will be done in January.
  • Department head role – place, release service indicators??? Department staff role??? See spread sheet. (Attached -- from Aug 21 e-mail)
  • Need list of individuals and assigned roles to verify security access.
  • TSCS has been stabilized – REG is now able to do DARS testing.

Question: is it safe to move requisites before DARS has been tested? “Wait and see.”

  • F08 Class Schedule will be posted on Feb 22 (not Feb 18). Feb 21 is the last day to drop full-semester S08 course without “W.”

  • See revisions to item #12.
  • See item #13.
  • Once permission is granted and service indicator released to allow student access to enrollment, service indicator has to be reapplied or access remains open.
  • Requisite enforcement: Jennifer Gehrt will attend the Council of Deans meeting on January 14, 2008 to discuss electronic enforcement vs manual enforcement of prerequisites.

Requisites: can add “soft” requisite of “Freshman or greater” and modify later. Keep working on requisite clean-up.

Student Athletes/Athletic Counselors

  • Role for athletic counselors was discussed. Schedule changes after certification of courses and computation of completion percentage are a problem. Academic advisers need to be involved in academic decisions. Certification officers may refuse to certify athletes if course changes can be made without consultation.
