David Delker convened the meeting, Certificates of Appreciation and best wishes were presented to Kamana Sharma, who is leaving K-State, and to Ray Hightower, who is retiring.

Fall 2008 Enrollment Pilots

During the week of March 10 (week prior to Spring Break), student employees in REG and student athletes (N=300) will enroll early for Fall 2008 to test the system. This will allow adjustments to be made during Spring Break before the general student population begins enrolling. Carol Shanklin suggested adding Graduate Student Council officers and committee members to the test group. Before the tests. . .

  • Advisers need to be trained.
  • Instructors need to be trained (for permissions).
  • Students need to be trained.

Three levels of student training will be tested.

  • Minimal information beyond “Top Ten” FAQs.
  • Enrollment with iTAC support.
  • Website training program.

iTAC Help Desk personnel will be trained on January 26, 2008 to help students and instructors. iTAC management staff will be trained to help advisers.

Training Schedule for Instructors and Advisers

Question: what is the training schedule for instructors and advisers?

  • College of Technology will train in Salina on January 14, followed by two colleges per week in Fairchild 9 (or other hard-wired lab if preferred). Training sessions will be an hour or a little longer. On-line training also available, but in-person training is preferred.

Suggestion: College orientation session prior to training will answer many questions and facilitate focus on training during training session. College of Technology already has had an orientation session. David Delker will share their orientation PowerPoint presentation.

  • Students will have access to Class Schedule on February 1.
  • Class Schedule will be released to Web on February 11 or 18
  • Spring enrollments and DARS will be moved Feb 21.
    • TSCS test base is working -- “looking pretty good.”
    • In January, move to CS2 will allow testing requisites with DARS.

Question: WHEN will it be available for testing? Earlier is better. Beginning Jan 15, Dean’s Offices will be busy with issues related to the start of Spring semester classes.

Question: can tutorials be previewed by Task Force before release to instructors and advisers? Yes.

Question: what about security access?

  • Have first student worker roles – hope to incorporate what’s needed in one student worker role.
  • Mike will e-mail partially completed security access form to distribute to department heads who do not yet have security access.
  • Adviser roles will be done in January, with training beginning a week after.
  • Consider if adviser role is appropriate for staff who need access to information available only to those with adviser role.

Question: is there a spreadsheet listing individuals and roles granted? Mike will provide and suggests comparing assigned roles to the list of access for roles to be sure individuals have the access they need.

Question: what will faculty have to do for training?

  • Instructors with NO advising role/responsibility: on-line training.
  • Advisers (undergraduate AND graduate): in-person training

Question: has Athletics been consulted about planned pilot? Yes, generally OK with it but there is more to discuss.

Requisites.

Coordination of requisite checking is important. Mike hopes to meet with Council of Deans because some (deans or others) are questioning why enforcement is not “all or none” due to concerns about confusing students.

  • Question: can students be informed of requisites if system will not enforce? YES – if entered in Class Schedule “Notes.” A link has to be clicked to get to “Notes.” Include “Check Notes” in the student training.
  • Concern: enforcing requisites is desired, but great concern about courses coded as “UNKWN” in DARS. Student may have completed a prerequisite course at another institution that is coded as UNKWN. Even when an UNKWN course is applied for a requirement as an exception, it remains coded UNKWN and is not recognized by iSIS.
  • Suggestion: let Deans know we support requisite enforcement but it is a work in progress, and we are working together to implement.
  • FYI: STAT is not enforcing requisites. MATH is not enforcing lower level course requisites, and looking carefully at upper level requisites.
  • For January meeting, Colleges should make a list of courses across colleges that need negotiation.
