Meeting Notes April 2, 2008-10:30

Seaton 113

Next Meeting:

Wednesday, April 9 at 9:00 AM, Calvin 301 (preceding CAPP meeting)

Attending:

Mike Crow (iSIS), Jennifer Gehrt (LASER), Donnelly (AG), Herspring (AR), Pumphrey (AS), Alison Wheatley (AS), Cunningham (BA), Niedfeldt (BA), Perl (ED), Larry Satzler (EN), Karen Pence (HE), David Delker (TC), Scott Schlender (GR), Linda Morse (DCE), Doris Carroll (FA/AAC), Monty Nielsen (REG), Al Cochran (PROV), Lynn Carlin (PROV)

Class Schedule Report

Mike Crow distributed example of WSR201 in spreadsheet format, a class schedule report that colleges can sort by instructor, room, etc. The report is still in development and not yet available, but Mike will let developer know it’s needed asap. Additions requested: room capacities, waitlist capacities, # on waitlist.

Spring 2009 Class Schedule

Mike Crow has e-mailed class schedulers about training opportunities, including lessons learned and refresher. Brian also is willing to do sessions for non-entry schedulers so information coming in for data entry is clearer and more consistent. Access to S09 Class Schedule will close July 15.

Student Security Roles

Work to date has focused on records and enrollment; roles can be added for curriculum management (rosters, catalog summary, course equivalencies).

Requisites/Class Permissions/Quick Enroll

Quick enroll is being used to allow students to enroll if requisites have been met (or will be met with summer or transfer courses) without sending students to departments for permission. We agreed to take students at their word about current or planned summer transfer enrollment. Perhaps a report can be run to verify completion of requisites?

Handicap Codes/Disability Codes

Handicap codes from SIS are being converted to Disability Codes in iSIS. The codes will not be visible except to staff with need to know.

Other discussion

Waitlists

  • Who can view waitlists? DO, dept staff, instructors. Look for class roster under curriculum management.
  • To waive requisites and place student on waitlist of closed class, use quick enroll and check “Waitlist OK.”
  • To change position on waitlist, go to Quick Enroll and use “Waitlist Position” (?).

Lecture/Labs

  • Need ability to give permission for specific lab sections. May have to make lab the graded component to accomplish that.

Comments from FS/AAC

  • What about grading? Will there be training? Will training be mandatory? Will training be available on-line (as was EGS)?
    • Yes, training will be available.
    • Grading is fairly simple; probably will have on-line training.
    • KSOL and iSIS grade training need to be integrated.
    • Snapshot video training may be possible.
    • Task Force will discuss grading in late April.
  • Faculty need to be able to enter permissions. Mixed responses – some faculty happy NOT to do permissions, some really want to be able to enter permissions.

Question:

Can complete schedules/rosters for students/classes with two careers be viewed?

  • Not available now – maybe someday?

Comment:

Reporting will become an issue – may be handled by “view.”

Question:

Can number of seats available be reduced as permissions are given?

Question:

Can enrollment date and time be on front page for easy student access?

Question:

Will we ever be able to run DARS for different catalog year? For subplans?

Reminder:

If you haven’t provided review of plans/subplans Charlotte requested, do so asap so plan list can be cleaned up.

Adviser entry:

  • If there is no objection, REG will enter and remove advisers when entering plan changes. This may help alleviate problems with entering advisers for minors.
  • Departments can enter advisers.
  • Inactive students on advisee list – a process that needs to be corrected centrally. Also can go into Records & Enrollment and remove adviser. Some advisers WANT inactive students to remain on their lists; some do not.

Block enrollment for Vet Med worked well. ESL program now wants block enrollment.
