Meeting Notes March 28, 2007

Ray Hightower distributed the following information from the iSIS SWAT Team meeting.

  1. Review iSIS SWAT TEAM meeting

    1. CAPP needs to determine if Deans should be responsible for adding UR (University Recognition – formerly Co-op) program to student’s record and dropping students from their courses, and process for implementing these actions.
    2. Same for Study Abroad (STDYAB) and National Student Exchange (NSE) programs.
    3. iSIS should identify that students are enrolled in STDYAB and NSE programs, but not necessary to be on DARS. Advisors will have access to iSIS and there are no curricula to monitor.
    4. Secondary major (SM) and minor (M) programs are presently identified on SIS and will continue to be on iSIS. So also is the notation that a student has been approved for graduation on the SIS. Dean’s staff need to make sure present SM & M directors have access to SIS and know how to read screens.

      So there is presently no need for SM & M Directors to require students to provide paper copies of transcripts or DARS showing that they have been approved for graduation. Directors/Advisors will also have access to this latter notation on iSIS.

      Crow commented that the “missing piece” is interaction with DARS – they are working on it and may know more soon.

  2. Mike Crow: April activities
    Follow-up on last meeting’s inquiry about inactivating requirements once entered (in case of system failure). Yes, it can be done, but not easily – will require multiple actions.

    There will be a meeting April 5 meeting of Asst/Assoc Deans 10:00-11:15 am in Fairchild 9. Due to misunderstanding, e-mail messages were not forwarded to iSIS Task Force; Ray will forward them after the meeting. Meeting notices will be sent by Oracle calendar, unless Mike is notified to use regular e-mail. “Scenarios” to test were requested.

    Several Colleges have had staff changes and are uncomfortable with forging ahead. Shanna, Ron and Alice volunteered to assist with training by sharing their experience. Shanna will consult with Brian to set up a meeting. A reminder about how to get to SAMBA was requested.

    Five “roles” have been identified related to curriculum management and enrollment.

  3. Other Topics

    Course/class schedule development may be centralized in Dean’s Offices.

    Timeline for course changes will require substantial lead time (one year) for implementation of approved changes.

    Clarification: “catalog description” is the listing of requisites for a course.

    Mike Crow distributed an information sheet showing how variable title classes (sections) for a course (e.g., “problems” or “topics” course) would appear.

    David Delker asked if there has been any consideration of other, newer DARS products with graphic interface that are more user-friendly. Mike Crow says yes, but on hold.

    Linda Morse requested consideration of DCE issues/potential changes (e.g., withdrawals, permissions), and was asked to draft a list of topics.
