Meeting Notes February 28, 2007

Mike Crow distributed a document, “iSIS Task Force Meeting Update – February 28, 2007.”

  • Courses are converted as of today (2/28/07).
  • Mike will distribute the list of people with system access for confirmation or changes.
  • Colleges can get started using materials from Brian.
  • Thursday, March 8, 10:30-11:30 am in Fairchild Room 9 is a meeting to review and resume training. Meetings also on Thursdays, April 5 – May 3, 10:00-11:15 am.
  • Mike suggests tackling the easy courses (“the 80%”) first, then work on the difficult ones.
  • If there are duplicate class numbers – use the higher number.
  • Use former information/spreadsheets on SAMBA drive to see where you are.
  • We’ll operate in two modes: 1) CS-1, conversion to test and in September, 2) conversion from LEGACY to production. Data will be entered into CS-1 and tested, then when ready “freeze” and move all at once.
  • Reminder about terminology: course = course, class = section. Link requisites (pre- and co-) to courses, then outlyers to classes (e.g., sections of courses with different requisites).
  • Fall 2008 course schedule preparation begins in September 2007. Class info will be entered in October.
  • Adherence to FS timeline for course changes (e.g., approval by May for fall changes) will be important.
  • Registrar will enter courses; colleges will enter requisites by class.
  • In the first year, DCE and Summer 2007 courses will NOT be recognized. Enrollment will require overrides. March enrollment will be “challenging.”
  • Anticipate that students will go to enrollment site and click on “U08” and enroll in old system or “F08” and enroll in new system.
  • DARS is still a challenge.
  • Working toward a common enrollment procedure for “regular” and DCE enrollments.
  • Question: Can we enter all requisite data but “inactivate” if the system falls apart? (Maybe. . .)
  • Functionality review for Dean’s Office Security role April 5-May 3. (Recommendation: involve CAPP deans.) Five roles in Dean’s Offices/different levels of security. Five roles to be identified at April 5 meeting. Security will be role-based.
  • Requisite team should start entering data over next 4-6 weeks – mark and load by September.
  • Department training will be a challenge. Enrollment Center will have “mark-up classes” training in June for course schedule. Entries will be made at Dept. level in a 2-3 week window – access cut off when course schedule goes to room scheduling.
  • Jennifer Gehrt and Mike Crow will meet with Deans and Department Heads in April-May regarding summer workload expectations.
  • Also in summer – learning admissions function. Undergraduate admission goes live on June 1; graduate admission goes live on October 1.
  • WID will be added to class rosters.
  • “Special groups” with early enrollment privilege will be the first to test the system by enrolling for F08 classes in the week before Spring Break. Regular enrollment will start after Spring Break.
