Panhellenic Sorority Formal Membership Recruitment process…

WHEN: Registration and enrollment will open April 1 and close August 1. No late registrations will be accepted. Students may register by visiting the K-State Greek Affairs website at www.k-state.edu/greek. Check-in will take place the week prior to the start of fall semester classes. Participants should plan to arrive ready to move into their place of residence for the semester.

WHERE: Participants will lodge in their actual place of residence for recruitment. For students living on campus, actual residence halls will be ready for move-in. Housing and Dinning contracts will begin the day the student moves into their residence hall room. Early lodging fees will be applied to the participant’s university housing bill as outlined in their Housing and Dinning contract. Meal service will be provided through the student’s Housing and Dinning contract. Students living off campus will need to arrange for housing to be available prior to the start of recruitment. Meal service will be provided by the Panhellenic Council via a pre-paid K-State Dinning Services meal card at an additional charge to these participants.

HOW MUCH: For 2010 Formal Membership Recruitment, you will be assessed a registration fee of \ upon completing the online application. (This fee will be determined by close of the fall 2009 semester, though is expected to be $75 or less.) Refund policy: Registration fees are non-refundable after the application deadline, since your valid payment also serves as a room reservation. Prior to the application deadline, fees are refundable minus a 10% processing fee. This refund policy is inclusive of women who (a) begin the process but may choose to voluntarily withdraw, or (b) are not presented with return invitations.

HOW TO APPLY: All applications are online only. Visit www.k-state.edu/greek beginning April1 to register.   You will be able to “click” and submit your application and registration fee. Your application will only be considered complete once your online application and payment is submitted and your final transcript(s) are reviewed. A confirmation email will be sent to you when your registration is complete and processed. NO APPLICATIONS WILL BE ACCPTED AFTER 5:00pm AUGUST 1, 2010.

TRANSCRIPTS: In order to verify your application for recruitment, we will require a copy of your high school transcript, including your last semester. Please DO NOT send a copy of your transcript to Greek Affairs as we will obtain a copy via K-State’s student information system. However, you will need to ensure your high school sends a final copy of your transcript to the K-State’s Admissions Office. If you have college credit, we will require a copy of any applicable college transcripts and acquire the information in the same manner. Again, please ensure the K-State Admissions Office has a final copy of your applicable college transcripts. The recommended minimum high school GPA is 2.9, and the minimum recommended college GPA is 2.5. Participants who have GPAs below these recommendations are still entitled to participate in recruitment, but should be advised that their options for joining a sorority will be significantly limited by national entry requirements. Participants coming from a high school not using a 4.0 scale should NOT attempt to convert their GPA to a 4.0 scale, but rather report is as reported on the official high school academic report.

LETTERS OF RECOMMENDATION: Letters of recommendation are not required by the K-State Panhellenic Council, but may be sent by chapter alumnae to each individual chapter house care of the Reference Chair. Some chapters require that recommendations be submitted on a special form. A Recommendation Information Form (RIF) may be accessed by alumnae at their national organization’s website.

PARKING: Students who have made arrangements for parking on campus during the fall semester will be granted these privileges beginning the day they move into their residence hall. Participants will not need a car for the week of recruitment as transportation is provided to and from all recruitment events by trained drivers.

MUTUAL SELECTION: The formal membership recruitment process is based on mutual selection. On the first day of recruitment, participants will have the opportunity to visit each participating Panhellenic sorority chapter on campus and meet a few of the chapter’s members. At the end of this recruitment round, participants will enter which chapters they would most like to return to into a computer system. The same computer system is utilized by the chapter as they enter which participants they would most like to invite to the next round of recruitment. The computer system looks for the greatest number of matches and produces a schedule for the following group. During the second round of recruitment, participants will visit a maximum number of nine chapters. The maximum number of visits for the third round is five chapters. The maximum number of visits for the fourth round is three. After the final round, the computer system matches the participant’s preferences with the chapter’s preferences and produces a membership invitation list. All participants receiving and accepting membership invitations through the final round of recruitment and making provisions to accept an invitation to from any chapter she visits on the final round of recruitment is guaranteed an invitation to a sorority chapter.

RECRUITMENT GUIDES: A current sorority member, who is specially trained to guide potential new members through recruitment process, will be assigned to each participant. Recruitment Guides will serve as coordinators/counselors for small groups of about 15 women. These guides are strictly prohibited from revealing their sorority affiliation until after bids are made, and must “disconnect” from their chapter during the week in order to remain an unbiased counselor. We ask all participants respect the Recruitment Guides’ desire to remain disaffiliated and allow them to help coach you through what is an exciting, but sometimes stressful, week.
