The Graduate School invites you to a celebratory Graduate School Know-How session! We will be providing coffee and cookies to celebrate the end of another successful spring semester.

The celebration will be held in 121 Eisenhower Hall, from 11:30 am – 1:00 pm on May 17th.

At the start of the pandemic, there was a significant reduction in demand for travel funding. That demand is returning to pre-pandemic levels, and the level of need may exceed the funds that the GSC has available. Therefore, the GSC will not be able to accept late applications for travel awards.

      • Application deadlines - Students must apply by the first of the month, two months before the month in which their event begins (e.g., students attending a conference that begins anytime between August 1-31 must apply for a GSC travel award by June 1). If a student is waiting for notification that their abstract has been accepted for presentation at a conference, they still must apply for a GSC travel award by the application deadline. They may be allocated a GSC travel award, but the award will be pending submission of documentation that the presentation was accepted for the conference.
      • Reimbursement - To streamline reimbursement processing, if a department or college is providing support to a student who also received travel funding from the GSC, the department may work with the GSC/Graduate School to process the reimbursement (instead of the student submitting reimbursement materials directly to the GSC). College/department staff who support processing of graduate student travel reimbursement should contact Megan Miller (mmmiller@ksu.edu) and Sara Randolph (slrandol@ksu.edu) for GSC travel award amounts and the funding string for processing travel awards.

As a reminder, the Graduate School has been working with the Division of Information Technology to transition all Graduate School graduate student forms into Softdocs Etrieve, K-State’s new enterprise electronic form and workflow solution. The benefit for having the forms in Softdocs is more user-friendly access, easier processing and easy tracking of approval status.

 

Training for Graduate School forms in Softdocs Etrieve will be conducted via Zoom on the following dates.

The have been a lot of questions asked about the hiring process for international GTAs/GRAs/GAs and how to support them with obtaining the SSN in a timely manner. The Graduate School worked with HCS and ISSS to understand these processes. Yesterday, May 15, a message with information about the hiring process was sent from Dean Petrescu to department heads, graduate program directors, graduate program staff, and all graduate faculty. One of the most important steps in the process for getting international grad students on payroll by the start of the semester is having them to arrive to the U.S. as soon as allowed by law, 30 days prior to the start of the semester. Please see the message sent yesterday for more details, including steps of the hiring process and who is responsible for each step, and information about solutions to financial hardships international students may experience until they begin receiving a paycheck for their assistantship. Questions regarding the message and information sent on May 15 may be directed to Dean Petrescu at cpetrescu@ksu.edu.

The Graduate School is requesting all programs to review their program specific area of the online graduate application for annual updates. Changes should be submitted to Joe Horan at jphoran@k-state.edu.

Evaluators: CollegeNET will discontinue the Admit Reader evaluation tool in the classic interface on June 1, 2023 in preparation for summer software and hardware upgrades. Our instructions here show how to navigate evaluating applications using the Worklist tool in the updated interface.

Recruitment

The Graduate School is working to facilitate collaboration on events for graduate recruitment. If your department or program is attending events for graduate recruitment, please let us know. A number of programs are eager to share costs for events, and having multiple academic units at recruiting events is helpful in promoting our programs with a larger presence. The Graduate School is putting together an events list so we can best assist all academic units and support these collaborative efforts. Please contact Sarah Tortella at stortella@ksu.edu.

Graduate Student Success

The Graduate School graduated 626 students this past Friday at Bramlage Coliseum. These are the statistics for the graduating class:

      • There were 531 masters and 95 doctoral graduates
      • 63% identify as females and 37% identified as males
      • 47% were from Kansas and 53% were from other places
      • 51 were international students

Opportunities for Graduate Students

Please share the following information with your graduate students

Hosted by BioKansas, the Innovation Festival (Aug. 3-5 in Kansas City) aims to elevate students and postdocs while highlighting interconnections between academic institutions and industries. Conference programming this year spans biotechnology, nutrition and the microbiome, human and animal health, engineering, data science, digital tech, pharmacology, deep tech, and more. Travel awards are available for presenters and attendees! Check it out!

Graduate students have the opportunity to:

      • Present your research orally or as a poster to industry and academic leaders, or to just attend!
      • Experience one-on-one conversations with industry and academic leaders interested in helping you reach your goals.
      • Participate in unique experiences to build your network and identify new career or training possibilities

Funding for Graduate Students

All incoming and returning graduate students are encouraged to complete the K-State Scholarship Network (KSN) application to be considered for scholarships for Fall 2023. Upon being admitted, students are included in the KSN database and may be eligible for some scholarships without taking further action. However, students may be considered for additional scholarships if they complete their full KSN profile. The KSN application will close on May 31 for Fall 2023 scholarships. Please encourage incoming and continuing graduate students to complete their full KSN profile before May 31 to increase their chances for funding in the next academic year.

Graduate Student Council travel award applications are due June 1 for travel to professional events or to support registration fees for virtual events that begin any time in August.

What if I’m still waiting for a response on my presentation submission? Students who plan to attend a conference and submitted a presentation but haven’t been notified yet if the presentation is accepted for the conference should still complete the GSC travel award application by June 1, and report that they plan to give a presentation. If allocated a travel award, the amount will be pending until the student submits documentation verifying that the presentation was accepted.
