Faculty and Staff

The Graduate School has been working with the Division of Information Technology to transition all Graduate School student forms to Softdocs Etrieve, K-State’s new enterprise electronic form and workflow solution. Softdocs provides more user-friendly access, easier processing and easy tracking of approval status.

Beginning May 30, students and support staff/faculty who access Graduate School forms via our webpage will be directed to the new forms created in Softdocs Etrieve and links to our forms on the Decisions platform will be redirected to the Softdocs Etrieve forms. The Decisions form workflow platform will remain active for 30 days to allow any forms that are currently in progress (submitted prior to May 30) to complete the approval workflow.

The webpage for Graduate School forms remains the same and individual form links will be directed to the Softdocs Etrieve forms: https://www.k-state.edu/grad/about/forms/

Helpful Information

Some faculty & staff members reported that they could not see how to submit forms or take other actions. The action buttons are at the bottom of the form panel (section of window). The “approve” button appears in the lower left corner of the panel/window or at the bottom of the screen on a mobile device:

Softdoc

When a form is submitted by proxy on behalf of a student, the form is first routed to the student for their review/approval so they are aware of the form submission. After the student approves the form, it is routed to the committee members and/or graduate program director as listed on the form.

Admissions

  • CollegeNet maintenance, June 16

    On  Friday, June 16, 9pm PT, CollegeNET will perform scheduled maintenance that may continue for one or more hours. The ApplyWeb CRM (including Admit and Prospect), as well as all other ApplyWeb forms and services will be unavailable during the maintenance window.

  • No program admission decision follow-up

    Beginning Monday, June 19, the Graduate School will be reaching out to programs that still have students awaiting decision to help aid in the process of communicating with these prospective students and building a plan for future admissions cycles for how to best mitigate no decision outcomes. If you have any questions, please email Sarah Tortella at stortella@ksu.edu.

 

On May 15, a message with information about the hiring process for international graduate assistants was sent from Dean Petrescu to department heads, graduate program directors, graduate program staff, and all graduate faculty. Based on information that we receive on a regular basis from our colleagues in the Cashier’s Office, Office of the Registrar, Office of Financial Assistance, and others, we are continuously revising the hiring process for international and domestic graduate students. The most updated document is available in Grad Resources on Teams.

Updates that you need to be aware of:

    • Information about requesting non-resident tuition waiver and GTA tuition waiver – The employing unit must submit a tuition waiver request for its grad assistants each semester. The student must be enrolled in at least 6 credit hours (fall and spring) and must have an eligible assistantship on record with HRIS before the Registrar’s Office will apply the waiver(s) to the student’s account.
    • Information about health insurance enrollment for GTAs, GRAs, and GAs – The student must have an eligible assistantship appointment (0.5 FTE) on record with HCS to be eligible for this insurance option.

To ensure that everybody receives this information, a separate email with the document will be sent to you from Dean Petrescu later this week.

We are also sharing information with incoming students in the Graduate School’s “Getting Started in Grad” virtual session series this summer and via direct emails to admitted international students.

  • Shared recruitment opportunities

    We at the Graduate School and other programs across K-State would like to collaborate on recruitment events for the 2023-2024 academic year. Graduate Student Success

The Registrar’s Office will now be using a third-party vendor, Parchment, to mail diplomas. This new vendor will be able to do address verifications with the students and provide an electronic diploma and certificate. The electronic diploma and certificate should be extremely useful to students that would have to wait for the hard copy to arrive and allow for immediate access to their credentials. With this new vendor E-Ship Global will no longer be available.

Any student that enrolled in the Summer 2023 semester prior to 5/15/23 will have a due date of 6/15/23 unless they have enrolled in a payment plan. Then, the final balance will be due by 7/15/23.

If the student enrolled 5/16/23 or later, then their balance will be reflected in the 6/15/23 billing statement with a due date of 7/15/23.

The Graduate School’s “Getting Started in Grad” Zoom series for incoming graduate students kicked off on June 7 with a session on Enrollment, Billing, and Making Payments. Nearly 90 students attended the session. The series continues this week. A “Preparing for Your Assistantship Session” was held yesterday with XX students in attendance. Recordings of these sessions are available on the Graduate School’s Welcome and Orientation webpage.

Remaining sessions:

    • June 16 and 21 – Making Your Move to the U.S., 9:00-10:00am
    • June 20 – A session for non-Manhattan campus students, 7:00-8:00pm

In August, the Graduate School and other units will host welcome and orientation activities for new graduate students. Information about these activities is being sent directly to graduate students admitted for the summer and fall 2023 semesters. We know it is helpful for students to receive information from different sources, so we appreciate your help with sharing this information with students in your programs.
