Step 5: Submit Your ETDR to KREx

The K-State Research Exchange (KREx) is the digital repository where your manuscript will be stored and made available to other researchers. If the draft PDF you submit to KREx meets all requirements, it will be accepted as final. If requirements are not met or if revisions are necessary, you will receive an email message with the subject line "KREx: Submission Rejected." Necessary revisions will be described in this message.

The actual submission process takes only a few minutes, but it will require some preparation. Review the steps below before you go online to submit your ETDR. The instructions are divided into these sections:

Contact us if you have questions or if any part of the process is not clear.

Get Ready

  1. You can use any computer that has access to the World Wide Web.

  2. Make sure you have a PDF version of your ETDR and any auxiliary files you want to submit in addition to the text of your paper.

  3. Open the Word or PDF version of your ETDR. You will need this document open so you can copy/paste information into K-REx.

  4. Have your keywords and subject categories selected. See guidelines for doing this.

Log In

  1. Go to the KREx homepage (http://krex.k-state.edu)
  2. Click on My K-REx on the left side of the screen.
  3. Enter your K-State eID and password. Be sure to enter only your eID, not your entire e-mail address. For example, if your eID is "willie," enter "willie," not "willie@ksu.edu." Click the Log In button.

Note: As of May 29, 2008, it is no longer necessary to register in K-REx before you submit your ETDR. You can login to K-REx with your existing eID and password.

If you have problems logging in, contact the IT Help Desk.

Information About Your ETDR

  1. Click Start a New Submission.
  2. You should now see the Submit: Choose Collection screen. Make sure that All Electronic Theses and Dissertations is visible in the Collection box. Click Next.
  3. Check the selection The item consists of more than one file only if you will submit a file(s) in addition to the PDF version of the text of your paper. If you will submit only a single PDF file, this selection should be unchecked.
  4. Click Next
  5. On the next screen, enter or select the following information:

    • Author: Use the exact form of your name as it appears on the title page of your ETDR. See guidelines for entering your name.
    • Title: Copy and paste the full title of your ETDR.
    • Date of Graduation: Select the month and year of your graduation.
    • Publication Type: Select dissertation, thesis, or report.
    • Degree Name: Select the type of degree you are receiving (Doctor of Philosopy, Master of Science, etc.).
    • Degree Level: Select the level of your degree (Masters or Doctoral).
    • Program: Select your department or program.
    • Major Professor: Select your major professor.
    • Language: Select English (United States).

    If the pull-down lists for degree name, department, or major professor do not contain the selection you need, select the "Not Listed" option which appears at the top of each list and continue with your submission. The correct information will be added to your submission when it is reviewed by the Library.

  6. Click Next.

Keywords and Abstract

  1. On the next screen, you will need to enter the following information:
    • Subject Keywords: You must enter at least 1 and no more than 6 keywords. Fill in the existing boxes, then click the Add More button if you need additional boxes. Be sure to follow these guidelines for selecting and entering keywords.
    • ProQuest/UMI Subject Categories: You must select at least 1 and no more than 3 categories. These categories should represent the major subject areas covered by your ETDR. See a list of ProQuest/UMI Subject Categories.
    • Abstract: Copy and paste your abstract into the Abstract box.
    • Sponsors: If an agency provided funding for your research, enter the name of the agency in the Sponsors box. Give the full name of the agency (no acronyms or abbreviations).

  2. Click Next.

Upload Your File

  1. On the Submit: Upload A File page, use the Browse button to locate the PDF file for your ETDR. Select the file. The path and filename should be visible in the Document File: box.
  2. If you're submitting only 1 file (the PDF of your manuscript), leave the File Description box blank. If you are submitting an auxiliary file(s) as part of your ETDR, enter the appropriate term in the File Description box:

    • Dissertation
    • Thesis
    • Report

    See the Supplementary Files page for guidelines on submitting these files.

  3. You should now see the Submit: File Uploaded Successfully screen. Make sure the correct file name appears in the table. If the file is not correct, click the Remove button and you will be able to repeat this step.
  4. If you have another file to upload, click the Add Another File button and repeat this step. Enter a brief description of this file in the File Description box.
  5. When you're finished uploading files, click Next.

Verify and License

  1. On the Submit: Verify Submission screen, you have an opportunity to review the information you've submitted. Click the Correct one of these or Add or Remove a File buttons to edit any of the information or to select a different file. If all the information is correct, click Next.
  2. Near the top of the Submit: Verify Submission screen, you will see Previously published item: Yes. This does not mean that your ETDR has been published by a commercial publisher. Rather, this is how the system indicates your ETDR is published by Kansas State University. There is no need to change this information.
  3. On the Submit: Grant K-REx Distribution License screen, click the I grant the license button at the bottom of the page. This license gives K-State permission to distribute your ETDR, but does not affect your copyright.
  4. Click Next.

Logout

  1. Congratulations! Your submission is now complete. Click Go to My K-REx, then click the Logout link in the upper left corner of the page.
  2. Your submission will now be reviewed by the Graduate School. Within a few days, you should receive an email notice informing you of the status of your submission. If your submission is approved, you will receive an email with the subject line "KREx: Submission Approved and Archived." you can then go on to the next step in the submission process.

    If your submission is not approved, You will receive an email message with the subject line "KREx: Submission Rejected." See below for instruction on how to revise and resubmit your ETDR.

Revise and Resubmit

  1. If you receive a "KREx: Submission Rejected" email notice, you will need to make changes in your original document, then convert the revised document to PDF. The revisions you need to make will be described in the body of the email.
  2. When you are ready to resubmit your revised PDF, click on the link in the email message you received from the Graduate School. Alternatively, you can go directly to the K-REx Login page.
  3. Once you log in, click on the button to resume your submission. K-REx retains all information you entered about your ETDR, but you will be able to make revisions. On the Submit: Upload File page, click the button labelled Click here if this is the wrong file and attach the revised version of your PDF file. Follow instructions on the screen to complete the submission process. Be sure to logout when you've finished.
  4. Within a few days, you will receive an email message informing you if your ETDR has been accepted. If your submission is approved, you can go on to the next step in the submission process. If you submission is rejected, you will need to repeat steps 1 through 3 above.
