Student Data Requests

University employees (faculty, staff, student employees) requesting access to student records, data, or information in any form during the course of conducting University business should already have the appropriate access.  If you do not have access or are unsure if you have a legitimate educational interest that allows you to utilize or review student data you should connect with the Office of the Registrar for clarification (registrar@ksu.edu). Decisions regarding the release of information are governed by the Student Records Policy

Institutional Research (IRB)

Individuals seeking to use current or former K-State student academic or educational record level data for research purposes need to follow the appropriate IRB protocols including submission of the Request for Use of Student Data in an IRB Approved Research Project form.

Surveys

University employees (faculty, staff, student employees) requesting access to aggregated student data for the purpose of responding to a survey should work directly with the Office of Institutional Research.

Kansas Open Records Act

If you are not a University employee please review The Kansas Open Records Act.  Note that in general, sunshine/open records laws do not supersede FERPA.  Questions or requests for data under KORA should be submitted to the University Open Records Custodian at openrecords@ksu.edu

K-State Students:

Students (current and former):  This is not intended for requesting a copy of your own student record. The Office of the University Registrar provides several self-service (KSIS) options to view your record, or you can order specific documents such as an enrollment verification or official transcript depending on your needs.

The Solomon Amendment

Under the provisions of the Solomon Amendment (32 C.F.R. 216), Kansas State University is required to provide “student recruitment information” upon request to representatives of the Department of Defense for military recruiting purposes. This information includes student name, address, telephone number, date of birth, level of education or degrees received, major, and the most recent previous educational institution in which the student was enrolled. For questions regarding the University’s compliance with FERPA and the Solomon Amendment, contact the Office of the Registrar at registrar@ksu.edu or the Office of General Counsel at attys@k-state.edu
