Diploma Policy

All financial/academic holds must be cleared before a diploma can be mailed. Check your KSIS Student Center for hold and departmental contact information. (How-to)

Students have 90 days after graduation to clear holds without delaying the mailing of a diploma. If holds are cleared after such time, students will need to notify the Office of the Registrar to arrange the release and mailing of a diploma. Diplomas will be retained for two years after the graduation date and will then be destroyed. After that time, any request for a diploma by the student will incur all charges associated with ordering a duplicate or replacement diploma.

Once a student has left the university, names can only be changed on a diploma with supporting legal documentation of a name change (i.e. a copy of a marriage license, a court order or divorce decree, a current passport, a driver’s license, or a Social Security card).

Diploma Distribution

Each student will receive a complimentary diploma upon graduation from Kansas State University.

Veterinary Medicine and Doctoral Diplomas are distributed at the Commencement Ceremony.

Undergraduate and Master Diplomas will be mailed, at no fee, via the United States Postal Service typically by the following times:

Spring: By August

Summer: By October

Fall: By March

Undergraduate students requesting to have their diplomas sent via FedEx/DHL may do so by completing an Express Mail Request Form.  Master's students should contact the Graduate School for alternate mailing options.


Diploma Size

Diplomas come in two sizes, depending on the degree earned.

  • Undergraduate and Graduate diplomas measure 8.5” x 11”
  • Veterinary Medicine diplomas measure 11” x 17”

Diploma Covers

Students attending the commencement ceremony will receive a purple diploma cover at the ceremony. Students who do not attend the commencement ceremony will be mailed a diploma cover when diplomas are mailed approximately six to eight weeks after degrees post (see Diploma Distribution). Additional diploma covers may be purchased online.

Apostille for Diploma
