Internal Assessment
People and Processes
This group will assess K-State's readiness for change and present their findings to the ERP Task Force.
- Develop Listening Tour plan including questions and format structure
- Coordinate Listening Tours meetings with functional areas
Systems and Services
This group will research and document the current state and future needs of the enterprise systems and services at K-State. Assess systems life cycle stages using the TIME Model. The group will document what is working well and what are the "pain points".
- Identify existing enterprise systems and ancillary systems with dependencies using “Pace Layering” concept
- Determine what customizations and “bolt-on” functional additions exist
- Understand system maintenance and document planned upgrades for the next 1-3 years
External Assessment
Competitive Analysis
This group will research other higher education institutions, including Big 12 and 2025 Aspirational Universities, with a focus on those similar in size, scope, and mission. The goal of the competitive analysis is to understand what other institutions are currently using or plan to use. This group will look at the strategies and processes that the other universities used to employ their changes.
- Create a matrix of institutions and prioritize the list
- Develop an analysis strategy including interviews, surveys, site visits, video conference, etc.
Market Assessment
This group will engage with ERP vendors, implementation partners, or consultants to learn what will be helpful in fulfilling the goals of this task force. Vendor selection is not part of this process, so it is important to manage vendor expectations.
- Establish a list of possible ERP vendors and implementation partners
- Develop a vendor plan that includes an RFI with on-campus demos for the committee, administrators, as well as interested faculty and staff
