The Constitution
Objective: To encourage an active lifestyle including exercise and social concern in young people.
Member Requirements: Currently enrolled K-State students and guests. No high school students.
Rules and Regulations: Established rules created by the Dodgeball Board.
Election Schedule: The months of March and April will be used to determine officers for following year.
Officer Responsibility: President- Run meetings, delegate tasks, club emails
Vice President- Run meetings in absence of President, fundraising
Secretary- Board minutes and records
Treasurer- Funding collection and distribution
The purpose of the following proposed amendments to the Dodgeball constitution are designed to facilitate the fulfillment of club affairs and establish a system for the conduct of club business that will insure the viability of the Dodgeball Club for many years.
Amendment 1: The Board
The leadership of the Dodgeball Club will be primarily composed of a governing board consisting of at least 5 members. Each member of the board will be a Dodgeball Club officer and be subject to the responsibilities of service that the club leadership must provide. The board will consist of a primary officer (president), secondary officer (vice president), a treasurer, a secretary, and at least one other non-titled officer.
•Each Dodgeball Club board membership must be assigned to a separate individual.
•All board members and running candidates must be willing to participate on the board and be respectful and productive.
•Dodgeball Club board member will earn their position depending on the number of candidates running for the same position. Uncontested positions will automatically be filled by the applicant if approved by the current Dodgeball Club board. Contested positions will have a winner chosen through election with the currently registered Dodgeball Club member assembly. Should there be a deadlock, the board will have the final vote in determining the proper candidate to fill the position.
•Candidates for the board must fulfill one of the following two requirements: 1) The candidate must be an officer or board member from a previous session or 2) Show substantial interest as determined by the current Dodgeball Club board members.
•The Dodgeball Club board will be responsible for approving all proposed actions of the club.
•The Dodgeball Club board will be considered in session and in quorum with 5 voting members assembled including the President or Vice President.
•All quorum motions must be recorded by the Secretary or submitted by a board member to the Secretary for record purposes if the Secretary is not in attendance.
•Only board members will be allowed to store in their possession Dodgeball Club assets and equipment. Appointing non-board members to store items is allowed if appointed by a board member.
The non-titled board members have duties as follows:
•Each non-titled board member has an obligation to vote on policy presented to the board.
•Each non-titled board member has an obligation to fulfill duties delegated to him or her by the President or Vice President.
Amendment 2: The Primary Officer (President)
The Dodgeball Club President is primarily responsible for directing the business of the club, delegating responsibilities to club officers, communicating all Dodgeball Club board activity and other important information to club members.
•The President will be selected by majority vote of all registered club members unless uncontested.
•The President will have the authority to delegate responsibilities to other non-titled board members.
•The President will preside over all club meetings; in his or her absence, the Vice President may take his place.
•The President is in charge of sending at least one weekly email to registered club members about Dodgeball Club board activity and general club meeting information.
Amendment 3: The Secondary Officer (Vice President)
The Dodgeball Club Vice President maintains all powers of the Dodgeball Club President in his or her absence and is also director of fundraising for the club, including campus tournaments.
•The Secondary Officer will be selected by majority vote of all registered club members unless uncontested.
•The Vice President must preside over quorum meetings in the absence of the president.
•The Vice President is in charge of bringing fundraising matters to the President and board for discussion
Amendment 4: The Secretary
The Dodgeball Club Secretary is primarily responsible for communicating all Dodgeball Club Board activity to the club as a whole and for relaying information regarding meeting and play times to all members.
•The Secretary will be selected by majority vote of all registered club members unless uncontested.
•The Secretary is responsible to keep record of board minutes.
•The Secretary is responsible to provide a copy of minutes to the President for club emails.
•The Secretary is responsible for maintaining an active record of all meetings he attends. Printed and well-kept records on file are preferable.
Amendment 5: The Treasurer
The Dodgeball Club Treasurer is primarily responsible for conducting the financial business of the Dodgeball Club.
•The Treasurer will be selected by majority vote of all registered club members unless uncontested.
•The Treasurer will have primary responsibility regarding the business of the club’s checking, savings, credit, and all other financial accounts.
•The Treasurer may only conduct financial action that has been approved by the board quorum.
•The treasurer is responsible for maintaining all related tax records and information.
•Under ordinary circumstances, the treasurer is the only member allowed to write checks or use club banking cards.
•The Treasurer is responsible for maintaining the official club roster.
•The Treasurer is responsible for maintaining an active record of all medical waivers.
•Updated monetary records should be on-hand and presented monthly at board meetings.
Amendment 6: The Dodgeball Club Roster
The Dodgeball Club roster will contain the names and email addresses (for the listserv) of the president, vice president, treasurer, secretary, additional board members, and all members that have paid their dues. The club roster will also indicate those members who have a medical waiver on file.
Amendment 7: Dues and Assets
All Dodgeball Club members, including board members, are responsible for an amount of $5 in dues per semester that must be collected prior to participation. Upon collection of dues, membership is effective and active per semester which ends on the last day of KSU finals for each semester. ALL DODGEBALL CLUB DUES AND DONATIONS ARE NON-REFUNDABLE. At the end of the school-calendar semester, all non-graduating members will have their membership retained in a “pending” status until the submission of their dues for the following semester. “Pending” members will be kept in contact through the listserv and other communications means but will not be eligible for participation until their dues have been collected for the following semester.
The Treasurer will keep an active list of all Dodgeball assets including balls, equipment, and financial account balances.
Amendment 8: Medical Wavers
In order to participate in any Dodgeball event, every participant must be an active member and have a signed medical waiver on file with the Treasurer. Medical waivers must be updated on annual basis at the time dues are collected.
Amendment 9: Membership
Dodgeball Club membership requires neither board meeting attendance nor active event participation, but members are encouraged to attend all Dodgeball related events. Dodgeball club members should monitor their email accounts for information regarding the club and check the website for updates. Dodgeball club membership is available only to KSU students and guests, staff, and faculty and is contingent on:
1)Payment of dues
2)Signature of a waiver
3)Participation with integrity and respect
Amendment 10: Official Game Rules
Dodgeball games will be conducted according to rules set forth and approved by the board. Dodgeball games may only be played in the presence of a board member. Board members are responsible for refereeing or assigning a referee to games. Any dodgeball games played in the absence of a board member are not in any way affiliated with the Dodgeball Club unless club equipment is in use and was board approved.
Amendment 11: Board Member Removal
Any club member (including board members) found to be in violation of the constitution will immediately have his membership and authority suspended, pending a review by the (remaining) board members which will then vote upon the status of that club member’s club affiliation. Members can thus be removed from the club. Removed members will only be eligible for re-admittance to the club pending a hearing of a board quorum. Also, should a board member have two unexcused absences, their board participation will stand trial for revocation with the remaining board members.
Amendment 12: The Webmaster
The Dodgeball Club Webmaster is in charge of maintaining the official club website.
•The Webmaster position will be appointed by the board and given to the most qualified board member.
•The Webmaster is responsible for keeping the website current with all relevant news and information relating to the Dodgeball Club. Examples, though not all-inclusive, of relevant news and information are items such as club rules and policy, club meeting schedule, board minutes, and location of club play.
•Generally, the Webmaster is in charge of all Internet activities including the website, Facebook, and MySpace
•The Webmaster is responsible to fulfill his or her duties in a timely manner.
