Meeting Notes
9:00 a.m., Seaton 113, December 10, 2008

Attending

Mike Crow (iSIS), Miriam Clark (iSIS), Jennifer Gehrt (LASER), Yolanda Howard (ITS), Tilford (AG), Wilson (AG), Herspring (AR), Nilges (AS), Niedfeldt (BA), Murphy (ED), Larry Satzler (EN), Karen Pence (HE), David Delker (TC), Carol Shanklin (GR), Judy Lynch (AAC), Linda Morse (DCE), Monty Nielsen (REG), Gunile DeVault (REG), Al Cochran (PROV)

Enhancement Upgrades List

(Handout: Post Go Live Enhancement Upgrades)
Mike Crow provided the iSIS Task Force Enhancement list organized in priority order for additional review.  Tech staff are reviewing the list to estimate time required for each enhancement.

Problem:  Running “Academic History” is cumbersome and needs to be more accessible.
Suggestion:  Add instructor’s name to Permission page.

Steering Committee meeting scheduled for December 10 has been cancelled because some other areas have not yet provided prioritized lists.  Priorities will be sorted by “What is iSIS?” and “What’s BIG?”

End of Semester Processing  (Mike Crow)

  • KSOL will shut down at 4:00 PM on Tuesday, December 23.
  • Stop ALL iSIS activity at 5:00 PM on Tuesday, December 23.
  • Tell faculty to review class rosters to check accuracy.
  • Get enrollment problems fixed before December 12.
  • “Mystery students” (students on class roster who never attended) – faculty should record an “F” rather than an “incomplete.”
  • A revised “I/NR” report has been run and distributed.  Faculty should respond to Registrar’s Office to continue “I” or “NR” – otherwise those grades will convert to “F” on December 19.
  • Work continues on program/plan issue and there still are some problems.
  • Missing grades report will be available daily beginning December 19.  Colleges should run their own missing grade reports.  Report will include all university classes; can be run as csv and sorted.  “Regular” or “Non-Standard” session can be selected for the report.
  • iSIS is set up to include in the “Overall” hours (used to determine the threshold for dismissal computation) the hours for both the first and second course enrollments of replacement retake courses.  College representatives disagree with this interpretation and want the original hours for the first attempt of a replacement retake removed from the “Overall” hours as has been the previous practice.  The replacement retake policy needs clarification.  The iSIS interpretation will put more students on dismissal than the previous interpretation because the increased number of overall hours will require students to meet a higher GPA standard to avoid dismissal.
  • Dean’s Offices will have to recalculate academic standing if a student has replacement retakes.  The number of students impacted may be smaller in Fall term because first    term students will not have replacement retakes.
    • Discussion:  Should students be notified of dismissal status when grades are posted, or after Dean’s Offices have re-computed academic standing?  (Post as planned – DO will notify individual students of any change in academic status.)
    • Question:  How do we notify REG to move students from “Dismissal” to “Warning”? Reinstatement does not seem appropriate.
    • Can a report be created to help us identify who will be impacted?
  • How will Honors/Warning/Dismissal lists be distributed?  They will come as reports.

Student Retention Report (Mike Crow)

A report will be created listing students enrolled for Fall 2008 who have not yet enrolled for Spring 2009.

Permissions/Adviser Holds (Mike Crow for Doris Carroll)

FS/Academic Affairs Committee will discuss:

  1. Changing policy that “No student may add a course after the first week of classes without the permission of the instructor.” to “No student may add a course after the second week of classes without the permission of the instructor.”;
  2. Changing the reset of the Adviser Hold to end of second week of classes; and
  3. Changing the Waitlist purge until end of second week of classes.  (Maybe deadlines should be by class or calendar day rather than week?  1st week in Spring Term is only two days.)
  4. Discussion is planned in January with possible consideration by Faculty Senate in February.

Non-Standard Classes – Dropping without Permission (Mike Crow)

Opening enrollment access for Non-Standard Academic Sessions allowed some students to drop classes without permission and created problems (e.g., academic integrity issue).  A report will be available for faculty review to determine if a class is to be dropped without “W”, dropped with “W,” or NOT to be dropped.

Faculty Name Format (Mike Crow)

See November 24, 2008 e-mail from Jennifer Gehrt.  Any change will require a system modification; the modification request needs to be added to the priority list.

“Miscellaneous”

  • List of service indicators is now on the REG website.
  • Development of Application for Graduation Clearance is underway.
  • When using Quick Enroll, add new value in order to maintain history.

Next Meeting:  January 14, 2009 at 9:00 AM in 113 Seaton Hall
